# Can I log in with any email address?

No, you can only log in with the email address registered to your profile. You can't register more than one email address to a profile. This is because your email address is attached to your user profile and it's your unique ID to log in.

For companies who use multiple email addresses or aliaises, be sure to confirm with your employees which email is registered to PeopleGoal. If you try to log in with the incorrect email you'll be redirected to the Sign Up page to sign up for a new account or request to join an account. Even if you request to join your Company account with a different email, the system will register you as a new user and you won't be able to access your company profile, because you're adding an email address that has not been set up on the account.

# Connect BambooHR To PeopleGoal

PeopleGoal integrates with BambooHR, allowing you to utilize your BambooHR account employee database in your PeopleGoal account. BambooHR can be the primary source of employee information and it automatically syncronizes with PeopleGoal. 

In this article, we provide a step-by-step guide on how to connect your BambooHR account with your PeopleGoal account.

## Step 1: Generate an API Key in your BambooHR Account

The API key allows you to connect your PeopleGoal account to BambooHR. In BambooHR, click Account > API Keys and 'Add a New Key'. Once you generate your API key make sure you make a copy of it.

## Step 2: Add your BambooHR API Key in your PeopleGoal Account

In PeopleGoal, under Settings and Integrations, go to BambooHR and click 'Add an API Key'. Paste the text into the 'API key' field. Then, add your BambooHR account name as it appears in your subdomain, i.e. peoplegoal for https://peoplegoal.bamboohr.com.

## Step 3: Syncronize your BambooHR account with PeopleGoal

The syncronization imports all your employees, managers, teams and profile pictures from BambooHR to your PeopleGoal account. Once you click on 'Run Synchronization', your status will update to 'In progress'. 

The process can take a few minutes, so you can leave it running in the background. The syncronization step will run automatically daily after the first run.

Once you complete the integration set-up, Bamboo HR will be your primary source of employee information in PeopleGoal. Any employee changes that take place in BambooHR will be reflected in PeopleGoal through the overnight sync.

## Custom employee profiles with BambooHR data
As part of our enterprise plan we also offer an employee profile integration. The employee profile integration with BambooHR allows you to connect your PeopleGoal Account with the BambooHR employee information tables. These include:

# PeopleGoal integration with Microsoft Azure Active Directory

PeopleGoal integrates with MS Azure Active Directory to enable our customers to import employee information into their PeopleGoal account through an automated process. Employee data stored in Microsoft Active Directory will act as the primary source of users and profile data for PeopleGoal. 

Configuring your integration is a simple, step-by-step process that we've outlined below. 

## Step 1: Navigate to Azure Active Directory and create a new application.

In your Azure portal select __app registration__ and __create a new app__. Give a name to your app and select one of the two multitenant options as shown below.

## Step 2: Enable API permissions to read data.

In your new app page navigate to API permissions and click on __add a permission__. Then proceed to set permisions as shown below:

Once you set up the permisions you will also have to grant admin consent by clicking on the option above the permissions.

## Step 3: Create a Client Secret

Create a key which will be used as the Client Secret in the PeopleGoal connection. Click on __certificates and secrets__ in the menu and __new client secret__. Make sure you make a copy of the secret, not the ID, and __save it__ as you will not be able to retrieve it again.

## Step 4: Set up your Application ID URI

Navigate back to the overview and click on the __Application ID URI__. This will generate a URL which you will add into PeopleGoal later on.

And that is the end of the MS Azure application set up.

## Step 5: Enable the MS Azure Active Directory Integration in PeopleGoal

In your [PeopleGoal](https://www.peoplegoal.com/product) account navigate to __Settings__ and then __Integrations__ and click on __Azure integration__. You will be promted to add the following details:

- Client ID (required)
- Client Secret (required)
- Client URI (required)
- Client Tenant (required)

This information is availiable in your MS Azure account (see steps 1 to 4 for reference). I hope that you have saved your secret id otherwise you will have to generate another one.

## Step 6: Run the integration for the first time

Once you have completed step 5 you are all set to run the integration for the first time by clicking __Run now__. If you tranferred the required information correctly the integration will start importing users, profiles, manager and team data. The first sync depending on size of your organization might take some time to complete. You will be able to see a quick summary of the sync data by clicking on of statuses in the Sync history area. The syncronization details cover users, teams and errors.

Microsoft Azure Active Directory (AD) will be the primary source of users. Every night at midnight PeopleGoal will pull your active directory users and sync profiles on PeopleGoal. New users will be ready to invite to PeopleGoal.

# Profile Templates

__[PeopleGoal](https://www.peoplegoal.com/product) allows an account owner to create any number of custom profile templates to capture your important employee data. Profile templates contain multiple fields that you define, that you can then leave to the employee to fill out or add the data yourself. Each field also has different permission types, so you can control who can view and edit every field on the template.__

To start building a new profile template, click on your profile image (or default image) in the bottom left corner, then select __Profile__.

## Create a new profile template

- When you open your Profile menu, you'll land on the __Profile__ tab which shows your personal read-only profile.
- Click the __Company profile__ button to the right of this view, then select __Account owner actions__.
- Select __Create a new profile template__ to begin. You'll need to give your template a name and description. Because you're able to create multiple templates, the description will help your colleagues to choose which template best suits their role. For example, you might want to create custom fields just for managers that are not required for an employee who has no direct reports.
- Then select whether you'd like this template to be the default profile template for everyone in the account.
- Click __Create profile template__ and you can start to edit the template fields.

## Edit a profile template

Once you've created the profile template details above, you'll be taken back to the __Profile__ profile tab where you need to click the __Company profile__ button in the top right again.

- In this drop-down, select which of the profile templates you want to edit (if you have more than one).
- Click __Account owner actions__, then select __Edit profile template__. 
- You'll see all of the read-only fields now become editable, and you can start to create your custom template.

### 1. Create the template structure

- Profile templates contain __Sections__ and __Elements__.
- Sections help you to group your data and make the profile easier to read, and __Elements__ are the indiviudal data fields that need to be filled out.
- Click __Add section__ to begin. Double click the __New section__ title to change the Section name - for example, "Employee details".
- Next you're going to start adding your profile elements. Click __Add element__ then select the element type.

### 2. Configure elements

- Each element is a data field on the profile template that you can customize.
- Hover over the right-hand side of the element until the three dots appear. Click these to open the __Element configuration__.
- Click __Edit element__ to change the field details.
- Click __Duplicate element__ to create an exact copy of this element. This is a great option to quickly duplicate things like rich-text fields where you've defined character limits, or single select elements where you've defined your drop-down fields.
- Click __Change section__ to move this element into another section of your template.

### 3. Visibility & control

In addition to the configuration, you can control the visibility of each profile section and each individual element.

- For a section or an element, hover over the right-hand side until the three dots appear.
- Under __Visibility & Control__, select the permission type for your section or element:

- __No selection__: the field is visible to everyone in your account, and editable by the profile owner as well as account owners. This would cover basic details like the employee's name, job title and office location.
- __Private__: the field is visible only to the profile owner and account owners. Both can edit the response to this field. This would include things like the employee's home address and their emergency contact.
- __Account owners only__: the field is not visible to the profile owner, only to the account owners. These would be things like their pay band or job classification for succession planning.
- __Protected__: the field is only editable by account owners; users can't edit this field themselves. You can include salary details and employee ID here. The protected setting works in conjuction with the visibility settings, so an element can be both protected and private, for example.

Once you're done, click __Finish editing profile template__ to save all of your changes.

Account owners can create profile templates to include custom employee information for every user in your PeopleGoal account.

Click on your profile image in the bottom left of your PeopleGoal account, then select the profile template dropdown. Click Account owner actions to proceed.

## Key Terminology

These are some of the key terms everybody will come across when using PeopleGoal.

__Apps__ are your processes / workflows - the core functionality of your account. In Performance Management for example, you'll have individual apps for reviews, one-to-one meetings, [360 feedback](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide) and OKRs/SMART goals. Or in our Development example below, you see apps for Training Approval, Development Plans and Career Development One-to-Ones. An app has a template for the form you want to complete which is completely customizable.

__Items__ are an instance of an app created by a user. The performance review for employee Jane Smith is an item  created in the Reviews app, or your Q1 objectives will be individual items created in the OKRs app.

__Workspaces__ are the containers for all of your apps. Think of it as the topic or category for all of the apps within a workspace, like Performance Management or Employee Engagement.

__States__ are stages in the app workflow. Every item can move through many states, with each state's participant being responsible for completing the form in that state and sending it on to the next state.

__Permissions__ control the visibility of items, apps and workspaces. You'll see permissions like "create only", "create and edit" or "view only". Permissions can be configured right down to the app level, so you can have different workspace and app permissions.

__Relationships__ are a link between two users - like Manager/Direct Report, Supervisor/Employee or Mentor/Team Member. You can have many relationships on [PeopleGoal](https://www.peoplegoal.com/product), meaning you're not limited to the traditional employee/line manager views.

## 1. Install the 360° Feedback template from the app store

- Open up any workspace, click __Create a new app__, the select __Store template__.
- Select the 360° Feedback app and click __Add this to your account__.
- Select the workspace (and workspace folder) you want this app to belong to from the drop-down menu, then click __Install template__.

It will take a few seconds to add install the app in your account, and you'll be taken straight to the app to get started.

## 2. Customize the 360° Feedback app template

If you wish to customize the template, click the __Template menu__, and then __Edit template__.

### i. Edit existing elements

Elements are your individual form fields that make up the Feedback process, and each element is completely customizable and can be changed to suit your custom process and company culture.

- To change a field, hover over the right-hand side of the element and click the three dots that appear.
- Select __Edit element__ (your element will have a name like "Text", "Date", "Rich-text area", etc.). The element editor will open up.
- Change any fields you need to and click __Save changes__ to update.

### iii. Reorder elements and sections

Reordering is easy - you just click and drag to change the element or section order.

- Hover over the left-hand side of the element (or section title) and click and drag your element or section to its new location.
- To move an element to a different section, hover over the right-hand side and click the three dots that appear.
- Select __Change section__ and choose the new section you want the element to belong to.

### iv. Create new elements and sections

At the bottom of each section, click __Add element__ and select the element type you want to insert.

A new element that's useful to add to your first section is a display-only Description or Rich-text area. You can use this to remind employees and managers of the key feedback cycle dates, or give instructions on how to kick off 360° degree feedback. 

- To add a new section, scroll to the very bottom of your template form and click __Add section__.
- Then click and drag your new section to where you want it to sit in the feedback flow.

In the below example, we are going to add a section for manager feedback in addition to the three peer feedback sections. We're going to duplicate the feedback form for Peer 1 so that the feedback questions are consistent across all participants.

## 3. Configure the 360° Feedback app states

States are the steps in your 360° Feedback workflow and each state has its own participant. The "Feedback Requestor" is one state and "Peer 1", "Peer 2" and "Peer 3" are other states. The "Feedback Requestor" is the person who is going to kick off the [360° feedback process](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide); this could either be the employee who is requesting feedback about themselves, or it could be the manager who is requesting feedback about a direct report.

There's no limit to the number of states you can add to your 360° Feedback workflow, allowing you easily create a complex process where different stakeholders can weigh in. You can also control the visibility of sections (and individual elements) in every state, and select whether they are read-only, editable or hidden to the selected state participant.

### i. Add a new state

- Click the __+__ button in your workflow builder to create a new state.
- Enter your state name, define the participant, and choose a status flag.
- Toggle on/off whether sections are visible or editable by default (don't worry - you can override this later if you need to).
- Click and drag your state to reorder your 360° Feedback workflow and you're done!

In the below example, we are going to add another state for "[Manager feedback](https://www.peoplegoal.com/blog/how-to-give-manager-feedback-5-examples)" so that the manager can answer the section we just added. We are going to call this state "Manager feedback" and create a participant called "Manager". Select any status flag for the time being, we will come back to this later.

Next, we are going to switch the toggle off for "All sections and elements are visible by default" as we don't want the manager to see the peer feedback just yet - they'll be able to see this when all feedback is complete. Finally, we want this section to be editable by the manager so we will leave the toggle switched on.

### ii. Remove a state

- To take out a state you won't be using, click the __Template__ tab and select __Configure states__.
- Select the state you want to delete and you'll see the blue highlight bar appear to confirm which state you've selected.
- Click __Delete state__ to remove it completely.

### iii. Customize your status flags

Every state has a default status flag that indicates to all participants what stage of the process their item is in. Your 360° Feedback app is set up with default status flags which you can customize.

- In the __Configure states__ menu, click on __Manage status flags__.
- Click a flag title to rename it, and click the color picker to choose a new flag color.
- Click __Create a new status flag__ to add an additional flag.
- Select the state to which you want to assign your flag, choose which flag to give it and click __Save changes__ to update.

Here, we are going to create a new status flag for Manager feedback called "Manager feedback pending".

It's a good idea to delete any unused status flags so that they don't clutter up your Item filter once your 360° feedback process is underway. If you take out a Peer Feedback state, you should also remove the relevant "Pending" status flag.

## 4. Manage your 360° Feedback app participants

Participants are the individuals involved in the 360° feedback app and each state has one participant. The first participant is called the "Feedback Requestor", and kicks off the process by selecting who the feedback is about. The process is flexible, with both employees and managers able to kick off the feedback request about themselves, a colleague or direct report. The "Feedback Requestor" must also select which three peers are going to give the feedback when they kick off the process in the first state.

### i. Define the default participants

- Select __Template__ from the top menu, then __Configure states__.
- Click __Manage participants__. This will bring up a list of everyone involved in this feedback workflow.
- Select the __Default relationship__ drop-down for the Manager participant, and select the relevant relationship (you might call this supervisor, team lead, etc.).

This means that the manager participant will be automatically populated for a new employee feedback request. The peers will still need to be selected individually.

### ii. Define the participant's visbility

Visibility defines whether a participant can see the feedback only in the state that they own (limited visibility), or in all states (full visibility).

We want the "Feedback Requestor" to have full visibility so that they are able to see the feedback they are given. The "Peers" however, should only have limited visibility because we only want them to see the feedback that they give. 

However, if you want to change a visibility level:

- Select Template from the top menu, and click Configure states.
- Click Manage participants.
- Click the drop-down next to the participants name and choose __Limited__ or __Full visibility__.
- Click __Save changes__ to lock in your updates.

## 5. Set the 360° Feedback app Permissions

Nearly ready to launch! The last step in automating the Feedback workflow is to decide who can create, edit and/or view all the 360° Feedback in your account. To do this, we use Permissions.

Permissions control the access to your app within your PeopleGoal account.

- To set your permissions, click on the __Settings__ menu, then expand the __Permissions__ section.
- Click on __Explain permission types__ to understand the access that each permission gives your account users.

### i. App-wide permissions

For 360° Feedback we'd recommend you set the permission to __Create only__. This means employees can kick off the feedback process for themselves or others, but can't see any colleagues' feedback.

### ii. Specific relationship, team and user permissions

The user who installed the 360° Feedback app template has __Owner__ permission by default, and can assign specific permissions to other teams or users. Specific team and user permissions supersede the default permission type.

- To assign a specific permission, select __Configure specific permissions__, then under "User permissions" click __Add user__.
- Type your colleague's name to add them to the permissions list. In the "Permission type" column, select which permission level to give them.

You might want to give "View only" permission to your C-Suite, so that they can see all 360° Feedback for all employees but not change the app settings or edit states that they're not a participant in.

To give managers access to create feedback requests for their direct reports, you'll set up a sepcific relationship permission.

- Select __Configure specific permissions__
- Under "Relationship permissions", select the Manager relationship (or supervisor, team lead, whichever relationship name you have set up!)
- This will by default give managers the ability to create, view and edit items for their direct reports

## 6. Launch your 360° Feedback process!

You're ready to roll! All you need to do now is kick off 360° Feedback for your employees. Both employees and managers are able to kick off the process by either naming themselves or a direct report as the person receiving feedback.

- In both cases, click on the __360° Feedback__ menu and click __New 360° Feedback__.
- Select your own name, as you are the first participant (the feedback requestor).
- Insert your own name if the feedback is about you, or insert your direct report's name if it's about a subordinate.

Or, click __Select team(s) of users__ and you can kick off 360° Feedback for entire user groups! But bear in mind you will still need to go into the 360° Feedback report to select the peer reviewers.

# Permissions & Visibility

__Permissions are a crucial part of your PeopleGoal platform. Setting up permissions gives you control over who can view, edit and interact with the workspaces, apps and items in your PeopleGoal account. As a workspace or app owner you have the ability to design flexible apps that are relevant for the participants, and using permissions you can easily build your [PeopleGoal](https://www.peoplegoal.com/product) account as an all-in-one HR portal.__

Visibility settings can then be designed on the app template to give further flexibility for state participants, and for the app template itself. We'll explain these concepts below, and show you how to set permissions and visibility across your account.

__You do not need to be an Account Owner to have Owner access on workspaces or apps!__ This is very important and gives a lot of flexibility in your processes. It also gives scope for senior leaders outside of HR to create and run their own initiatives in your PeopleGoal account, without needing access to the Account menu.

## Permission types explained

Within workspaces and apps there are six types of permissions that control their visibility:

- __Access denied__: the workspace/app is not accesssible at all.
- __Create only__: users can create items for themselves but can only view the items they participate in. They cannot view items in which they're not a participant. 
- __Create and view__: users can create items for themselves and view all other items in the workspace/app.
- __Create, view and edit__: users can create items for themselves, view all other items in the workspace/app and edit other users' items. They cannot change the workspace/app settings or the app template.
- __Owner__: has full access to all data in the workspace/app and the ability to change workspace/app settings.
- __View only__: can only view all the items in the workspace/app, but cannot create or edit any items or change workspace/app settings.

Using these six permission types, you can control:

- Access to workspaces
- Access to apps (inherited from the workspace, but can be overridden)

## Set Workspace Permissions

A __workspace owner__ is the only one who can change workspace permissions. The default owner is always the person who created the workspace (not necessarily the account owner).

- Select __Workspaces__ in the navbar to view all of your workspaces.
- You'll already see a gray permissions flag in the bottom right corner of each workspace tile that shows you the access you have to this workspace.
- Click the workspace you want to open up, then select the __Settings__ tab and expand the __Permissions__ setting.

### Default permissions

The __default permission type__ is the one that applies to every user in the account. 

- Click the permission type drop-down to change this, then click __Save changes__.

Typically the default permission type would be "Create only", so that users can access your workspace for themselves but not edit or view any of the other items it contains. But you can also set "Access denied" to create restricted workspaces, and then configure specific permissions to give access to select users only.

### Specific permissions

Now you can grant permissions for exceptional cases. Click __Configure specific permissions__.

Specific permissions can be set for teams of users or for individuals. You'll already see yourself listed in the __User permissions__ area as the workspace owner.

- Click __Add team__ to grant different permissions for every user in a team.
- Then click __Add user__ to grant further permissions for an individual.
- __Even if that individual is a member of the team you selected above, their individual user permission level will override this.__

### Relationship permissions

There are often times when you want to grant access to create, view and edit items for a specific relationship only. For example, you want your Managers to be able to create, view and edit goals for their direct reports only.

- To do this, in the __Relationship permissions__ area click to add the relationship you want to give this special access.
- You can choose any of the relationship types you have created.

### How does this work in practice?

As an example, say we're editing the Performance Management workspace. Your HR team will need to be able to view all data in the workspace but we want to limit the ability for other team members to change the workspace settings. Additionally, your CEO wants to be able to see what's going on in the full organization but doesn't need to create any items for other users.

Our __default permission type__ would be "Create only".
Our __specific team permissions__ would be "Create, view and edit" for just the HR team.
Our __specific user permissions__ would be "View only" for the CEO, and "Owner" for yourself. Even if you're a member of the HR team, it's your user permission that takes precedence and you have "Owner" access rather than just "Create, view and edit".

## Set App Permissions

__App permissions are inherited from the workspace the app belongs to__.

When you create a new app all the permissions are exactly the same as its parent workspace. So if you've configured specific permissions for your Performance Management workspace, any app you create in that workspace will also have those same permissions.

However, you can change permissions on the app level to allow different access to your app.

__Note that if you install an app from the App Store, the default permission will be Owner. Remember to update this before you launch your app to all users!__

An example might be that the Talent Development workspace has "Create only" permissions by default, for users to create development plans with their managers and access training apps. Within this workspace you create a Succession Planning app to which you can restrict access for everyone except the HR team.

- To set app permissions, open up the app you want to edit and click the __Settings__ tab.
- Expand the __Permissions__ setting and configure your default and specific permissions the same way you did for workspaces.
- Click __Save changes__ to update.

At the very top of the screen next to your app title you'll see a blue permissions flag, showing you the permission level you have for this app.

## App Visibility

We'll explain this in more detail in the [Apps](https://www.peoplegoal.com/support/article/apps) article, but it's worth going over briefly now.

Apps are workflows that are built as a template that contains __sections__ and __elements__. Apps move through multiple __states__, and each state has one __participant__. __Items__ are an instance of an app created by a user.

Participants are given either limited visibility or full visibility to the item they're participting in. Limited visibility means they can only see the item in the state they own, and full visibility means they can view the item in any state of the workflow.

Sections and elements can be __hidden__ in a certain state, or can be marked __read only__ in a state. This means you can hide whole areas of the workflow from a specific participant, or make those areas read-only to that participant.

### How does this work in practice?

To illustrate, let's look at the permissions and visibility for a simple Reviews app.

Our review goes through four states:
1. Employee self-assessment
2. Manager assessment
3. HR approval
4. Final confirmation

And we've got three participants:
1. Employee
2. Manager
3. HR reviewer

The __default app permissions__ are "Create only" - employees can create a review for themselves but can't see anyone else's review. Managers can participate in the employee's review but can't see any review in which they're not a participant.

The employee has __limited visibility__ - they can only view the review when they are the state participant. So they can see their self assessment as they draft it, but once it's sent to the manager it becomes inaccessible until it's sent back to the employee for their final signature.

The manager has __full visibility__ - they can view (but not edit) the review when it's in the employee self assessment state and when it's been submitted to HR for approval, even though they aren't the participant in either of these states.

In state 1 the employee self-asssessment __section__ is visible and editable to the employee. The employee is filling out their responses.

In state 2 the employee self-assessment __section__ is __read-only__ to the manager, and the manager assessment __elements__ are editable. The manager is viewing the employee's responses and entering their manager assessment responses.

In state 3 the entire review form is __read-only__ to the HR reviewer, and the HR confirmation __section__ is editable. The HR reviewer can read all the review responses but can only add their comments to the HR confirmation section.

In state 4 the entire review form is __read-only__ to the employee, and the HR confirmation is hidden. The employee can view (but not edit) all of the review responses, and the HR section is kept confidential from the employee.

## Quick summary of visibility

So you can see that permissions and visibility give you an extremely flexible level of access control throughout your account. If you're getting stuck, remember that the order in which permissions are given goes:

1. Workspace permissions.
2. App permissions (override any workspace permissions).
3. Participant visibility (whether they can see an item in any state or just the state they own).
4. Section visibility (whether the app section is hidden, read-only or editable to this participant).
5. Element visibility (whether the individual fields within a section are hidden, read-only or editable to this participant).


Permissions control who can view, edit and interact with the workspaces, apps and items in your PeopleGoal account.

Permissions control who can view, edit and interact with the workspaces, apps and items in your PeopleGoal account. This article explains Permissions in detail.

## Key Terminology

These are some of the key terms everybody will come across when using PeopleGoal.

__Apps__ are your processes / workflows - the core functionality of your account. In Performance Management for example, you'll have individual apps for reviews, one-to-one meetings, [360 feedback](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide) and OKRs/SMART goals. Or in our Development example below, you see apps for Training Approval, Development Plans and Career Development One-to-Ones. An app has a template for the form you want to complete which is completely customizable.

__Items__ are an instance of an app created by a user. The performance review for employee Jane Smith is an item  created in the Reviews app, or your Q1 objectives will be individual items created in the OKRs app.

__Workspaces__ are the containers for all of your apps. Think of it as the topic or category for all of the apps within a workspace, like Performance Management or Employee Engagement.

__States__ are stages in the app workflow. Every item can move through many states, with each state's participant being responsible for completing the form in that state and sending it on to the next state.

__Permissions__ control the visibility of items, apps and workspaces. You'll see permissions like "create only", "create and edit" or "view only". Permissions can be configured right down to the app level, so you can have different workspace and app permissions.

__Relationships__ are a link between two users - like Manager/Direct Report, Supervisor/Employee or Mentor/Team Member. You can have many relationships on [PeopleGoal](https://www.peoplegoal.com/product), meaning you're not limited to the traditional employee/line manager views.

__Teams__ are groups of users. You can belong to many teams, and teams can connect to one another to build out a matrix organizational structure that reflects your actual working groups, not just a strict organizational hierarchy.

## Peoplegoal Section

To start this Zapier integration process open and log into PeopleGoal and start on the dashboard.

From the dashboard navigate to the workspace which holds the app you have created for the integration.

Select the app being integrated and open to the item view, for this example a bug report app is used to submit a new bug report issue in Jira.

Create a new instance of the App, name it and open it. Once open fill out all infomation needed to

As shown in the image below, In this app we have used a text option, Team Selection, User Selection and Date picker to log the infomation about the bug found.

Once the app is filled out with the infomation submit the app and open Zapier.

## Zapier Section

### PeopleGoal Zapier Section

Once the PeopleGoal app has been created and saved we will move onto connecting Peoplegoal to Zapier. Once you log into your zapier account navigate to the dashboard and click on the button in the top left "MAKE A ZAP".

This will create a template for a new zapier integration. In the top left of the screen you can click on the text to rename your Zap. This helps to show what the Zap integrates with and is recommended that going into as much detail as possible can help differentiate between zaps if your account holds mutiple zaps between two of the same apps.

Once you have named your Zap, select the seach box and type in PeopleGoal and then select PeopleGoal (1.0.0). This feature is Invite only so if this isn't shown in your search bar please contact (email here) to gain access via our Development Team. This process can be shown (insert link to connecting to zapier account here).

Once the PeopleGoal app has been selected we need to choose an event that we want to trigger this integration. For this example want to create a new bug ticket in Jira everytime a bug report is submitted in, so for this example we will use Item Submitted. Once selected click continue to choose account and event.

Here you will log into your PeopleGoal account which will give you access to link your PeopleGoal account to Zapier. A popup will open with a page to login, use the same login you use to access your PeopleGoal Account. This connection can be disconnected at any time via My Apps from the Zapier. Once the account is selected click continue.

Once the PeopleGoal account in logged in you will be asked to pick which company account you want to associate Zap. This dropdown option helps with accounts that have access to mutiple company accounts like HR managers and Consultants. As an indvidual you will only have access to see and select the company accounts you have access to in PeopleGoal. You can search the company account that is needed and select it, once the account it selected Click continue.

Now the company account has been selected you can test your trigger integration with Zapier. Click test and wait for the Item list to be loaded.

When the data is found a list of available items to select from will appear. In this list the test item created from the PeopleGoal app from earlier can be found. The search feature can be used to check if the data matches the test app created earlier. Using the search feature is recommended because of the large amount of data shared by the PeopleGoal API. Using the search feature simplifies this and helps to find what data is provided in the item that has been selected.

Once the correct item has been selected click continue to move onto the Jira section of this zap.

### Jira Zapier Section

This finished the PeopleGoal section of this integration. Now we are shown another App & Event Selection list. Search for Jira Software Cloud and select the app.

In this example integration a bug report is being created in [PeopleGoal](https://www.peoplegoal.com/product) which will trigger a new bug report issue in Jira, this means "Create Issue" will be selected as the event trigger.

After the App and Event are chosen zapier will prompt a Jira account sign in. If a Jira account hasn't already been linked your account in zapier, this will prompt a pop up screen to login in.

Next it will ask to grant permission to Zapier to access a Jira/Atlassian account, check if the account authorized in correct then click accept to continue.

Next step is to customize the Issue data and where its being sent in Jira. First start with the Project. Select which Project is being integratated with PeopleGoal. In this example the Bug Reports Project is being selected.

Once Project has been selected next is the Issue Type selection. Here is where the Issue is selected that is being integrated with the PeopleGoal App. As the example app used is a bug reporting app in PeopleGoal the destination for this data would be a new bug report Issue in Jira so the bug report issue type is selected.

Next Step in the Issue creation is accessing the data shared by the PeopleGoal app. Here we select Summary which provides zapier with a drop down box of all the possible infomation shared from the bug report via the PeopleGoal API. As PeopleGoal offers a highly configurable form builder there is alot of data available for selection but it has been simplified for the selection process.

When searching for the app data needed to attach to this Zap using "Simple Dataview" in the search can help find the data send from the App selected. In the example "Simple Dataview Name" is searched to easily find the name used when the app was created back in the PeopleGoal section. This selection process is the same when selecting any form data from the PeopleGoal app.

In Description again access is needed to the text input data from PeopleGoal app. Again Simple Dataview is used to find the text input "Enter Bug Details" is that is shown in the list below. This can be added from the list along with other mutiple data inputs that are needed.

In the next step a Reporter and Assignee are selected for this bug report issue. Once this is done, click continue to finish the Issue Creation step.

Now in this step a test is run on the data coming through from PeopleGoal through Zapier to Jira. Zapier will give a visualized issue layout to see what infomation is being sent through and if the data is linked correctly. If this all looks correct click test and continue. This process will help troubleshoot if the format of the data being sent matches what is needed by Jira to create the Issue.

When the test is done a slider at the bottom of the screen will appear to turn on the Zap. Click the slider that is located in black at the bottom of the screen click. This may take a moment to go green but once it does click the back button at the top left of the screen to go back to your Zaps page. If the slider on the Zap is green it will indicate the Zap is up and running.

Now the Zap is actice, Open up Jira and check if the data send correctly.

## Jira Section

Once the Zapier Integration is up and running and have submitted the PeopleGoal test app, move across to Jira to check if the data sent is correct. Open Jira to either the Your work tab or Projects. Select your Bug Reports project.

Open the Issue card and check the infomation is matching the content sent via the PeopleGoal App.

If the infomation is correct then the integration setup is complete. This process can now be used to setup and create more Zaps that allow more integration more data between PeopleGoal and Jira.

# Display Only Elements

__Display only elements present read-only information that can be used to inform employees as they interact with an app - from instructions as to how employees are expected to fill in their responses, to profile values that can be pulled from the employee profiles.__

The value of incorporating display only elements is their capacity to facilitate easier communication with your workforce. This channel of communication will be presented to employees as they are going through the process of completing a workflow. As a result, this guidance can ensure that employees are executing any process in an accurate and better-informed manner.

There are seven display only elements:

## Title

The Title element will generate a field for you to present a text block with enlarged text. The text in this element is bigger than any other text you will see in the workflow - consequently, it will stand out from the rest of your instructions.

Now let's take a look at how it can be applied in your own workflow. 

__Introductory Title__

You may wish to use the Title element at the beginning of each section or for a particular part of a workflow. As the text is clearly set to a larger font than other elements, this may be useful to clearly label the purpose of each section, or the workflow as a whole.

## Description

The Description element is one of our most commonly used Display only elements. As you might have guessed, this provides a space to present a description for a workflow. This will typically include guidance or information about the workflow or any additional explanations that might be useful for the employee.

By providing your employees with instructions as to the purpose of this workflow or by giving tips on how they should go about completing them, employees will have further clarity as to how to approach the process. This is especially helpful when they're new to HR software in general. Providing clear, step by step instructions on how to move the item through the workflow sets expectations and makes employees more comfortable with the process. Some examples of this include:

__Development Plan Instructions__

As your employees embark on mapping their paths for [career development](https://www.peoplegoal.com/blog/development-plan), they will likely be very appreciative if you provide them with some pointers. This is where using the description element can be really beneficial.

Simply by adding in some general themes or desirable targets that employees can use to align their development plans, the description element can provide further insights as to how they might approach their responses.

__Onboarding Checklist Information__

When a [new joiner](https://www.peoplegoal.com/app-store/template/new-joiner-survey) is first going through the process of onboarding and checking off that they have completed various activities, the guidance within the checklist will ensure that they have a full understanding of what it is they need to be doing next.

By using the description element here, you are able to highlight significant tasks or responsibilities for a new joiner. A description that explains what happens next, who's involved, and when the employee can expect the checklist to be returned to them gives clarity and direction to your new joiner.

## Rich textarea

Similar to the description element, our Rich textarea element can be used to display long sections of text that are important for the employee to read - with the added bonus of being formattable. Rich textareas allow you to use different header types, colours, lists and emojis to personalize your descriptive content.

__Explaining SMART Goals__

If you are implementing the SMART Goals methodology for the first time with your employees, then it may be useful to take some time to break down the description of how SMART Goals work.

With a rich textarea, you will have the space to provide a comprehensive description to break down SMART Goals. From explaining the acronym (with different colored headings for each attribute), to how you expect employees to apply it to their own objectives - this element can give you the option to be thorough with your explanations.

__Employee Learning__

Whether as a part of your employee onboarding or for your [employee](https://www.peoplegoal.com/resources/webcasts/employee-development) [development](https://www.peoplegoal.com/blog/effective-employee-development-plans) plans, the rich textarea element can be used to facilitate employee learning. You might want to reference a segment of text from an article or paste in some other relevant material.

This element is particularly versatile when you're uploading large volumes of text.

__Company Values__

An idea that might be valuable for setting better-aligned goals could be using the rich textarea to present your company's core values. With a clear presentation of these values, employees are able to refer to them as they look to set their own goals or OKRs.

The rich textarea can provide an adequate amount of space for you to present your company values or any other informative bodies of text that could be helpful when employees look to make use of a particular app.

## Image

In some situations, it might be useful for your employees if you include an image alongside a particular question or survey. As the saying goes: a picture is worth a thousand words. Use the image upload element to bring your employees more into the picture. (I'll stop with the clichés now...)

As these picture examples demonstrate - the use of image elements can bring your employees more easily up to speed. Images also help to break up the text and make longer, word-heavy apps more engaging.

__Wellbeing Awareness__

If using our wellbeing or [mood survey](https://www.peoplegoal.com/support/article/how-to-create-a-mood-survey-remote-team), you may consider including an image that presents some information about keeping healthy. Attaching a warm and lighthearted message to this survey could help not just in terms of the employee responses but also for their wellbeing in general.

__Development Plan Schedule__

For this example, you can see that we have provided our employees with a template for their expected development plan timelines. The image succinctly depicts the amount of time individuals should look to invest into particular aspects of their development plans - and looks much cleaner than it would be writing this schedule out in bullet points.

__OKRs in Review__

Here we have incorporated an image within our OKRs app. This will provide employees with an overview of how individuals have performed collectively in the previous year and therefore can enable them to make better-informed decisions regarding setting their next OKRs.

## Link

The link element is particularly helpful when an administrator or manager would like employees to interact with a resource or portal away from the [PeopleGoal](https://www.peoplegoal.com/product) platform.

Making use of this element is straightforward - all you have to do is add the element, then paste in your hyperlink and edit the 'Hyperlink title' to inform your employees of where the link will take them. 

You can even edit how the link is displayed so that it is presented as a button or an iFrame. An iFrame will load the website within a drawer on the item itself so the user doesn't need to navigate away from their PeopleGoal item.

*Note that some external sites do not allow their pages to be embedded in an iFrame. If your iFrame link isn't loading, you'll need to change the display to a button or web link.*

__External Learning__

You may find that you have a brilliant learning resource that could be introduced to onboarding employees. Access to this website can be bridged directly from the onboarding app to the learning platform. In doing this, the employee will not need to spend time searching for precisely the correct page - they can jump straight to it as they complete the [onboarding process](https://www.peoplegoal.com/blog/5-key-employee-onboarding-process-steps-to-master).

__E-Signature__

For some forms, it may be necessary to request that your employees provide an e-signature to verify their request. The Asset Tracking app is a great example of where the link element would be really useful. As employees confirm the collection or return of any company equipment, they will be required to provide an e-signature by following a link to dedicated recognition site.

With a link incorporated into the form, all the employee has to do is tick the relevant boxes, provide any descriptions and click the link to confirm. It couldn't be easier.

## File download

Oftentimes, there are essential documents that employees must have access to in order to accurately complete tasks. Our option to include a File download element provides the solution for this in the Display only category.

An administrator or supervisor can incorporate a file download in any template where it might be necessary. To add a file to a template, one must simply select __File download__ and then __Select attachment__ to download and view the specific attachment included in the workflow.

Every company functions with a unique culture and language. Sometimes, the use of such language may require further explanation. In this instance, we can use a file download to present employees with a document that contains all of the instructions regarding the definition of the terms used. 

By providing employees with clearer guidance as to how they should approach their feedback reports, will ensure better alignment and the proper use of company language.

__Onboarding Information__

For the most part, these Display only elements follow a recurring trend - that being the provision of information to be seen by employees. This is why so many of these elements become useful when onboarding new employees.

Here in this example, we can use the File download element to provide [new joiners](https://www.peoplegoal.com/app-store/template/new-joiner-survey) with access to crucial documents for their onboarding. Whether for learning about the company or presenting the core values and history of your organization, these file downloads can enable a streamline transfer of information to your workforce.

## Profile value

For the last element of the Display only category, we turn our attention to the Profile value field. This element can be used to refer to any existing data that is recorded about an employee on their [custom PeopleGoal profile template](https://www.peoplegoal.com/support/article/profile-templates). When an employee comes into fill in their workflow, this field will be populated with the relevant information from their employee profile.

To set up this element:

- Specify the name for the field
- Select the participant whose profile value should be referenced
- Select which profile template you want to reference (remember, you can have any number of different profile templates)
- Then select the profile element to reference

You may also toggle 'Keep existing items updated' in order to ensure the field remains up to date should there be any profile changes. This is useful for an app like a development plan, where the employee supervisor and role title may change over time. But for "point in time" apps like [360 Feedback](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide) or a Performance Review, you'll want 'Keep existing items updated' to stay off so that when you refer back to the item in future it shows the role title, team, etc. at the time the user completed their item.

__Performance / Competency Review__

If your company has a specific interest in monitoring the development of your employees then you may emphasize the importance of tracking [employee competencies](https://www.peoplegoal.com/blog/core-employment-competencies-explained). By the time a performance review comes around, either quarterly or annually, this then opens up an opportunity to measure performance against the fulfillment of competencies.

In your performance review, you may decide to integrate some Profile value fields that reference company and role-specific competencies, where these have been created on the employee profile template.

__Exit Interview__

As sad as it is to see someone leave, unfortunately, the day will come where an individual moves on from your organization. The process of running an exit interview can be tedious, especially when working out the specifics about an employee that are important to incorporate in their exit documentation.

With PeopleGoal, you can make the process ever so slightly less painful by incorporating Profile value fields in the exit interview workflow. You may wish to review their final salary on departure in order to inform the expected compensation for their replacement, or pull their Hire Date so you can easily calculate their tenure.

__Elements are the form fields that make up your app template. When building or editing apps, there are over 30 different types of elements to choose from! This allows you to build out completely custom workflows that capture all the data you want to track within each app.__

# How do I duplicate an item?

Duplicating items is useful for your goals and OKRs. Sometimes you'll be working on the same thing each quarter, with some small changes made to the goal details - like your sales targets. To duplicate an item for yourself or for another user:

- Open the item you want to clone.
- Click __Actions__ right at the top of the screen. You'll only be able to do this if you are the current participant.
- Select __Duplicate item__. You'll then be asked who you want to duplicate this for, and in what state.
- Select __Duplicate as is__ if you want to create an *exact* copy of the item - in the same state and with the same participants. Make sure you're clear on which state the item is in!
- If you want to create a new item in the first state of the form, click __Select user(s)__ instead. Type in the name of the user you want to own the duplicated item, then click __Duplicate items__.
- The new owner will be notified that they have a new item in progress.

# How to process Absence Requests using the Absence Management app

__Absence requests are an important day to day HR responsibility. An organized, automated system will help avoid miscommunications. PeopleGoal's Absence Management app keeps HR, managers and employees in the loop about absence requests.__

## 1. Install the Absence Management app 

You can install the Absence Management app in any relevant workspace, from Culture to Development. Remember that you can add as many apps as you like to your PeopleGoal account! 

- Click on __Create a new app__ and then select __Store Template__. 
- Search for Absence Management and then press __Add this to your account__.
- Choose the workspace you want this app to belong to.
- Select __Install template__, wait a few moments, and you’re ready to use your new app!

## 2. Customize the Absence management app template 

Your HR team may have a unique policy for absence management. With PeopleGoal’s app, you can make this as relevant as you need. 

To edit the form template, simply press the __Template menu__, then __Edit template__.

### i. Edit existing elements 

Elements are the individual __form fields__. It’s easy to edit this to be more relevant to your company’s policies. 

- Hover over the element to edit, click the three little dots that appear, then __edit element__.
- If you need to edit the form’s title or description, hover over the three little dots beside the title and then hit __Change section title__. 

Perhaps you want forms to indicate where employees are absent due to their mental health? To do this, press the three dots beside the drop-down menu and select __Edit select__. You can then add ‘mental health need’.

### ii. Duplicate elements 

HR may ask more questions on the Absence request in order to understand the reasons behind absenteeism. If you would like to repeat the drop-down menu form from the first question, it’s easy to duplicate elements. 

- Hover over the three little dots next to the element and select __Duplicate element__.
- Select __edit select__ to change the question and drop-down options.
- Remember to __save changes__!

### iii. Re-ordering elements and sections 

You may want to rearrange the structure of the form. To re-order elements:

- Hover over the 6 little dots to the left-side of the element you want to move. 
- __Click and drag__ the element to wherever it works best on the form.

### iv. Create new elements and sections 

You may want to use the form as a chance to gain more insights into absence management at your organization.  For example, you may want to ask whether employees feel they have adequate leave to do their job optimally.  

- To add a new element, simply scroll to the end of the form and click __Add element__. 
- Select the element type you want to insert, whether that's a text input, calendar or slider. 

Sliders work well for measuring agreement or likelihood. You could ask employees to measure the statement *‘I feel that I have adequate leave to perform optimally and prevent burnout’* on a slider.

- Simply select __Add element__, then select __Numerical__, then __Slider__.
- You can edit the 'Name' of your slider. This is the statement you want to measure.

## 3. Configure the form states 

Your form is all customized and almost ready to go. Now, choose who will see the form before it is passed back to HR. 

Above the form template is the __form’s workflow__. This identifies who interacts with your form, and at what stage of the process.  You can customize this as much as you want. 

Each square of the workflow is a __state__. Each state has its own __participant__. You may wish to add managers to this workflow, so that they can see any employee requests for absence. 

### i. Add a new state, e.g. a manager 

- To add a state, press the plus sign next to the workflow.
- Enter your state name, for example 'Department Head Approval' for the HOD to approve a request. 
- Type the name of the participant, and select a status flag (e.g. Completed, In progress).
- You can select whether you want all sections to be visible to this participant by default, and if you want participants in this state to be able to edit the form. Most likely, you will only want managers to be able to review the request by default. You may want managers to add comments to the form before it returns to HR.  
- With your new state added to the workflow, __click and drag__ each state to the order you need.

You may want to add an element that is __only visible to HR__. Select __add section__ and then __add element__ to create a text input for HR to provide some initial thoughts. This section can be invisible outside of HR. 

- To do this, select states outside of HR.
- Scroll down to this section and click the 3 dots on the right-hand side.
- Then select __Hide section in this state__.

### ii. Delete a state

- You can delete a state by pressing __Template__, and then __Configure States__.
- Scroll down to __Delete State__ below the state you want to delete.

### iii. Customize status flags

You can make status flags more relevant to your company's language.

- Simply press __Template__, then __Configure states__.
- Then press __Manage status flags__. A grid will appear showing current status flags - you can edit them however you like!
- Remember to save changes.

## 4. Manage form participants 

Participants are the individuals involved in the absence request  - each state has one participant. To automate absence requests, you can set up default participants according to account [Relationships](https://www.peoplegoal.com/support/article/relationships). 

This means when an absence request comes through, the process of informing the employee's manager and the HR team can be automated. 

### i. Set default relationships and users

- Select the __Configure states__ menu and click __Manage participants__.
- For each participant, set a default user or default relationship to automate the Absence Request workflow.
- Participant names are customizable - so you can edit this to suit your company's language.

### ii. Manage participant visibility

Not everything will be relevant to every participant - and absence requests can contain confidential information. You can select whether each participant has 'Full Visibility' or 'Limited Visibility'. 

For example, if HR adds comments at the end of the form, you may not want this to be visible to the employee making the absence request.

- To do this, press __Template__, then __Configure states__.
- Then hit __Manage participants__. A grid appears that is completely customizable - make changes to names and visibility.

## 5. Set up Absence Request app permissions 

Permissions control who can access the Absence Requests app in your PeopleGoal account. This determines who can __create, edit and/or view__ all of the Absence Request forms.

- Click on the __Settings__ menu, then select __Permissions__.
- Select __Explain permission types__ - these will explain what access the different permissions provide.

### i. Set up app-wide permissions

For Absence Requests, we reccommend you set the permission to __Create only__. This means employees can create absence requests when they need to, but can't see the requests of other employees.

### ii. Specific team and user permissions

Maybe there are certain individuals you would like the forms to be visible to, for example team managers. HR may even want managers to be able to edit absence requests with their own comments.

The person who installed the app has __Owner permission__ by default. They can assign different permissions to users. These specific team and user permissions overwrite the default permission type.

- To do this, select __Configure specific permissions__ under __Permissions__ in the Settings menu.
- Use __relationship permissions__ to allow a relationship type Create, View and Edit permissions just for their subordinates.
- Under __user permissions__, click __add user__.
- Search for your colleague's name and add them to the permissions list.
- You can then select which level of permission to give them, under the 'Permission type' column.

You might consider giving your leadership team 'Create and View' permissions, so they can see all absence requests but cannot edit app states or the template.

## 6. Send off your absence management request 

All that's left to do now is to send off the absence request form to employees!

- Simply select __New absence request__.
- To complete an absence request for yourself, select your own name.
- Or, for an individual employee, click __Select user__ and search for their name.

If you want to inform entire teams about the absence request form, so they know where to go when they need it - you can launch the form for __entire teams__.

- Select __New absence request__ and then click __Select teams of users__.
- Then search for the team you want to send the form to.

# Workspaces for Pros

__Workspaces are the containers for all of your apps. Think of a workspace as a category within your account - like Performance Management, [Onboarding](https://www.peoplegoal.com/blog/onboarding-a-new-employee) and Talent Development. They make your PeopleGoal account easy to navigate for users, and easy to manage for owners. Workspaces have their own permission settings which allows you to control who can see, create and edit all of the data contained in the workspace.__

Before you dive in make sure you've read the [Workspaces article in the Getting Started guide](https://www.peoplegoal.com/support/article/install-a-workspace) so that you've got the fundamentals down - how to install a workspace template, how to navigate the workspace and what the workspace settings are.

In this article we'll show you how to create a new workspace from scratch, how to set your workspace permissions and how to set up app folders in the workspace.

## Create a New Workspace

- Click on the __Workspaces__ icon in the navbar.
- Click __Create a new workspace__ and select __Blank template__.
- Give your workspace a catchy name and a description. These will be visible to everyone in the account regardless of their access permissions.
- You'll see a banner saying "This workspace is in draft mode". This means it's only visible to you, the workspace owner, until you're ready to publish it. Publishing means making the workspace visible to everyone else. You can publish your workspace now or come back to the Settings to publish it later.

Next you're going to set up the basic workspace settings.

- Click your __Settings__ tab to get started.
- - Click __Expand__ in the far right of each settings section to make your changes.
- Click __Save changes__ to lock in your updates, or __Cancel changes__ if you don't want to save any updates.

### Details

Change the workspace name and description (great for checking if you made any typos when you created your new workspace).

### Image

This is the workspace cover image.

- Click the default image to update this.
- Select __Upload image__ to upload your own image file or click __Search for an image__ to browse the stock photography library.
- The workspace image is cropped 3:4 in the overall workspaces area, and circular cropped in the individual workspace view, so make sure to choose an image that works for both.

### Style

Select the workspace color and display icon. By default these will be the same for any new apps you create within the workspace.

### Status

You're already working in draft mode. When you're ready to publish your workspace, either toggle the "Draft" button to "Published" and save your changes, or click __Publish workspace__ in the yellow banner above.

## Configure Workspace Permissions

The __default permisssion type__ is listed in the drop-down button (generally this will be "Create only"). This is the access level that applies to everyone in your PeopleGoal account.

- Click __Configure specific permissions__ to set up other access rights by exception. Access can be given to teams (groups of users) or to specific users.

As an example, you might create a Performance Management workspace that will contain a suite of performance management apps for goal-setting, one to ones and performance reviews.

The __default permission__ type will be "Create only", so that all employees on your PeopleGoal account can create their own [OKRs](https://www.peoplegoal.com/blog/okrs-for-better-strategy-alignment) and complete [performance reviews](https://www.peoplegoal.com/guides/performance-reviews), but they can't view the OKRs or reviews belonging to their colleagues.

You can then __configure specific permissions__ to make your Human Resources team additional workspace owners. Everyone in this team would have workspace owner rights, just like you do.

You could also configure a specific permission for your CEO to give them "Create and view" access. They'd be able to create their own items and view items for all other employees - without having owner rights to change workspace settings.

Remember to hit __Save changes__ to lock in your updates.

## Set up App Folders

Once you've got your settings and permisssions configured, click on the __Apps__ tab to add workflow apps to this workspace. Either [install an app from our App Store](https://www.peoplegoal.com/support/article/install-an-app) or [create your own custom app](https://www.peoplegoal.com/support/article/apps).

Once you have a few apps added to the workspace you've got an extra way to organize your apps - called __Folders__. Using folders adds a menu list to the lefthand side of your workspace, and allows you to group common apps together. This is especially useful when you've got five or more apps within a workspace.

### Create the folder view

- Select __Use folders__ to start creating your folders.
- You'll start with two default folders called __Home__ and __Uncategorized__.
- Click the pencil icon next to the __Folders__ title to rename your "Home" folder. Click on the "Home" title to edit.
- Click __Add folder__ to create and name more folders.
- Click the pencil icon again when you're done.

### Add apps to folders

- Click the __Uncategorized__ folder to start sorting your apps.
- Click the cog icon in the bottom left of an app, then select __Move to folder__.
- Choose which folder to send this app to, and repeat for all the other uncategorized apps.
- Now to access your groups of apps, just click the Folder title and your categorized apps will appear.

### Change an app's folder

- Open up the current folder the app is in.
- Then click the cog icon in the bottom left of the app and select __Move to folder__.

### Remove App Folders

- If you want to switch back to the regular workspace view, click the pencil icon next to the __Folders__ title to edit.
- Click the red "x" next to each folder name, and all apps within that folder will become uncategorized again.
- Select __Delete folder__ to confirm.
- Keep deleting all of your folders until you're back to the default workspace view.

- Go to [the sign-up page](https://www.peoplegoal.com/sign-up) and click __Create a new account__.

- Enter your organization's name and give us a few sentences about what you're looking for. This will help our team suggest the best Apps to install to get you started.
- Click __Next__ to move on, or __Go back__ if you'd like to join an existing account instead of creating a new one.

- Select your Role title and Organization size, then click __Next__ to move on or __Go back__ to change your new account name.

- You'll be asked to enter a new __subdomain__ to create your account. The subdomain is the unique URL for your organization on PeopleGoal. Employees can use the subdomain to search and request to join your account so try to make it as close to your business name as possible.

- Click __Create your account__ and you're done!

## Invite others to join your account

Invite teammates to collaborate on your [PeopleGoal](https://www.peoplegoal.com/product) account when you're getting set up or after you've created a new account.

__We'd recommend you add users to your account before you set up your teams and relationships structure__.

This will help to visualise how teams and relationships should connect using your actual employees, and give you the unique employee IDs to create those connections using the import templates for relationships and teams.

### 1. When you create your account

If you've got a few teammates in mind you can add them straight from the account set-up process.

- Enter their email addresses in the __Email__ section and click __Send invitation__.
- If you'd prefer to add team members after you've installed a couple of apps, click __I'm done, take me to my account!__ instead.

### 2. After you've created an account

- Click the __Account__ menu in the lefthand navbar, then click on __Users__.

- Click on the __Invitations__ tab and enter the email addresses of the teammates you'd like to invite.
- Click __Send invitation__ and we'll do the rest.

## Import users

You can add new teammates all at once by using the Import template.

- Click on the __Import users__ tab, then __Download import template__ to get started.
- Fill out the fields on your Excel template and save your local copy to upload this to PeopleGoal in the next step.
- On the __Import users__ tab, click __Next step__ to continue.
- Click __Select import data__ and choose your Import Template from where it's saved on your local machine.
- Click __Upload data__ and you'll see a new field appear in the __Data imports__ area.
- Click on the latest upload in __Data imports__ and choose which of your new profiles should be an Account owner (hint: not many!).
- Then click __Invite users__ and we'll send the invitation email to all of your new employees.

### Manage invitations you've sent

- Click on the __Invitations__ tab to see the status of the invitations you've sent.
- Click __Delete invitation__ to revoke access for anybody who hasn't yet signed up.

## Join an account

Looking to join an existing PeopleGoal account? You can request an invitation.

- Go to [www.peoplegoal.com/sign-up](https://www.peoplegoal.com/sign-up) and click __Join an existing account__.
- Type in the unique subdomain for your organization and click __Send request__.

We'll check if this business has a PeopleGoal account and if you already have an invitation pending.

When your request is successful you'll see a green "Done!" message and that's it. Your request will be sent to the account owners to approve, and you'll be notified by email of your approval with a login link.

## How Does PeopleGoal Work?

PeopleGoal is a __custom workflow builder__ for HR processes. PeopleGoal __apps__ are powerful forms that incorporate multiple participants. But we're not your traditional, static form builder! PeopleGoal apps move through many __states__ via custom triggers and actions. This allows you to easily execute complex HR processses that require input from lots of people.

Our apps can do (almost) anything! ## Key Terminology

These are some of the key terms everybody will come across when using PeopleGoal.

__Apps__ are your processes / workflows - the core functionality of your account. In Performance Management for example, you'll have individual apps for reviews, one-to-one meetings, [360 feedback](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide) and OKRs/SMART goals. Or in our Development example below, you see apps for Training Approval, Development Plans and Career Development One-to-Ones. An app has a template for the form you want to complete which is completely customizable.

__Items__ are an instance of an app created by a user. The performance review for employee Jane Smith is an item  created in the Reviews app, or your Q1 objectives will be individual items created in the OKRs app.

__Workspaces__ are the containers for all of your apps. Think of it as the topic or category for all of the apps within a workspace, like Performance Management or Employee Engagement.

__States__ are stages in the app workflow. Every item can move through many states, with each state's participant being responsible for completing the form in that state and sending it on to the next state.

__Permissions__ control the visibility of items, apps and workspaces. You'll see permissions like "create only", "create and edit" or "view only". Permissions can be configured right down to the app level, so you can have different workspace and app permissions.

__Relationships__ are a link between two users - like Manager/Direct Report, Supervisor/Employee or Mentor/Team Member. You can have many relationships on [PeopleGoal](https://www.peoplegoal.com/product), meaning you're not limited to the traditional employee/line manager views.

__Teams__ are groups of users. You can belong to many teams, and teams can connect to one another to build out a matrix organizational structure that reflects your actual working groups, not just a strict organizational hierarchy.

# Text Elements

__The Text section is full of elements that will allow participants to provide written responses in the workflow. The text elements are extremely versatile and are incorporated into almost all of our apps, in one way or another.__

For all text elements, the __Repeatable__ toggle option will allow participants to generate additional text fields and create lists in their responses. You can set a character limit for minimum and maximum characters, or leave the max. character field at 0 to have no character limits. You can also specify the line length text inputs and text areas - you'll see the element preview size change when you increase/decrease the line length.

## Text input

This option will generate a single line box for employees to enter any responses. Typically this element is used when the employee is expected to give a short, written response. You can also switch on the __Repeatable__ toggle here to allow participants to create lists.

__Employee Details__

The true value of text input is seen in its application for gathering information that is short but still very important. In this example, the text input element is clearly the ideal solution for gathering an employee details such as their first name, last name and other relevant information such as role title and their department.

There is no need for an extremely long block of text here as even the longest name or title is highly unlikely to take up multiple lines of text.

__Defining a KPI__

This example may not apply if you follow a different approach when using KPIs in goal setting, however, if your company promotes setting definitive and succinct KPIs then this can help you. Since the text input element is intended to present a short response, it is useful to encourage employees to give short and sweet definitions for their [KPIs](https://www.peoplegoal.com/blog/key-performance-indicators).

Running a weekly or regular [pulse survey](https://www.peoplegoal.com/glossary/employee-pulse-survey) is a great way to ensure that employees are well engaged with their work. The majority of responses will be multiple choice select options, however, it can be useful to prompt employees for some brief descriptions of their thoughts and feelings towards the company or their week in general.

Using a text input element, you can gather information by asking for them to 'describe their week in 3 words'. The single line response will be more than enough space to gather their responses.

### Textarea

The Textarea element is catered for more in-depth text responses. This larger box will be useful for gathering text responses that are longer than a single line response, but don't require any formatting. In a variety of scenarios, the text area element can be an extremely useful element for gathering information from your employees.

__Comments box__

As thee textarea provides a lot of space for in-depth responses, it can be applied effectively to function as a comments box. For example, in the tracking stage of an objective - the textarea element is a great solution that enables employees to post regular updates and provide information about their progress towards their KPIs. Make this a repeatable element and users will be able to add a new section for each individual update they provide.

__Weekly Tasks__

An additional benefit of the textarea element is its capacity to encourage employees to provide more in-depth responses. This is encouraged in an unspoken manner as the size of the textarea box clearly indicates that theree is an expectation for the employee to type in more than a one line response.

Within the weekly tasks app, this provides an ideal means to prompt employees to give a well-detailed account of their activities. From breaking down their tasks on an hourly basis or simply listing what they achieved each day, the text area element caters to these more long-winded responses.

### Multiline

Our multiline element is ideal for sharing an address, but it has many alternative, flexible applications. The multiline element does as it says - it provides a series of single line text boxes.

To add or remove additional boxes, go to 'Edit multiline' and either define another input or delete a particular box. These can then be altered to provide a half-length box or a full-length text box depending on what you require. Moreover, you can provide labels for each text box - these can either be displayed above or in-line with each box.

*Note: with multiline elements you can make each individual line required or not-required. Click 'Show options' to switch on/off required lines.*

__Employee Address__

The most obvious approach for using this multiline element is the option to provide a clearly broken up set of text boxes to gather data on employee addresses. This might be important to include in the [onboarding process](https://www.peoplegoal.com/blog/5-key-employee-onboarding-process-steps-to-master) ensuring that the new joiner has shared their current address with your company.

You can label each line of the element with instructions as to the information expected for each line. For example, you might use: 'House/ Flat number', 'City' or 'Zipcode'.

__Key Performance Indicators__

Beyond using the multiline element simply the means to gather employee addresses, you might look to use this element when gathering responses that are ranked or to be prioritized. In this instance, an employee's [KPIs](https://www.peoplegoal.com/glossary/key-performance-indicators-kpis) may be ranked from 1-5 in terms of importance or urgency. 

Consequently, we could use the multiline element to facilitate setting these KPIs in a specific order. As there is no option to add additional responses for this element, the administrator is also able to limit the maximum number of KPIs that can be set by any employee.

### Rich textarea

If you're looking for an element that can be used as a graphical word processing program, then the Rich text rea is the element for you. This element provides an all-rounded solution for any of your text-based requirements. Employees are able to embed content, create bulleted lists, add headers, colors and emojis to personalize their responses.

__Development Logs__

Within your development workspace, you may wish to create a dedicated app for logging and tracking employee learning and development. Development programs can be multifaceted and may draw on a wide range of training programs or other learning facilities. As a result, it is useful to encourage employees to record all of the various aspects of their [development](https://www.peoplegoal.com/blog/employee-development) in a single document.

With a rich textarea, you can set up boxes to contain several rows for very long entries. The element can also make use of the *repeatable* function, thus allowing employees to log multiple events or specific timeframes within their accounts of their [personal development](https://www.peoplegoal.com/blog/personal-development-objectives).

__Exit Interview__

Whilst a manager will have a strong awareness of the responsibilities of their employees, occasionally certain tasks may go unrecognized. This is where an [exit interview](https://www.peoplegoal.com/blog/exit-interview-questions-that-you-should-ask) can be used to attain information from an employee as they give a full debrief of the various responsibilities they undertook in their role.

With options for bulleted responses, it becomes easy enough for the employee to list the different types of tasks they performed and with whom each would be involved.

### Email

As we arrive at the final element in the text category, the option to prompt employees to provide an email has obvious benefits. The email element can be incorporated as a way to gather employee information. Alternatively, it could be used for linking a particular individual with another item. When including an email element into a workflow, there is typically a need for this email address to be used directly or indirectly in line with the immediate item.

__Contact List__

With the email element, there is the option to include *repeatable* responses. This means that an employee can list multiple email addresses if it is required. One example where this may be the case is in establishing an employee contact list. Either grouped by teams or otherwise, we can enable one employee (responsible for their department or associates, etc.) to enter the email addresses of multiple individuals.

With a single workflow containing all of the necessary contact details, employees can more easily access the information required to reach individuals that they may not regularly communicate with.

# How do I delete an item?

Deleting an item is very straightforward, but should be used sparingly. Once an item has been deleted you won't be able to recover it, so make sure you're only deleting items you've created by mistake or that really shouldn't be on the account.

The only user who can delete an item is the participant who owns the item in its current state, or an app owner. So even if your SMART Goal belongs to you, if you've sent it along to your line manager to approve only they will be able to delete this goal. Once it is sent back to you in a state that you own, you will then be able to delete it again.

To delete an item:

- Open the item you want to delete.
- Click __Actions__ right at the top of the form.
- Select __Delete item__, then click to confirm.

# Teams

__A team is a group of users on [PeopleGoal](https://www.peoplegoal.com/product). It's an extremely flexible way to group employees together in ways that reflect your actual working groups. You're not limited by a strict hierarchical structure and you can build out complex matrix organizational charts.__

A team can "belong" to any number of other teams. Connect your teams up in any number of organizational layers, including cross-team alignment. Users can also be members of any number of teams which gives lots of scope to reflect not only their core office location but also any special projects and temporary working groups they're a part of.

Teams has the most impact on how you structure your app permissions. There may be a lot of changing of teams as you build out your account, but luckily any changes are quick and easy to implement.

## Create a New Team

- Click __Create a new team__ to get started.
- Add a team name and description. The description will help users know whether this is the team they want to join if they send a request.
- Select which team(s) this new team should __belong to__. Search in the filter to add parent teams.
- You can also select which team(s) should belong to this new team! Search in the filter to add child teams.

### Team Visibility

Teams can be open or private.

- __Open__ teams are visible to everyone in the account, and anyone can join this team without needing approval. Open teams are great for volunteer or special project groups.
- __Private__ teams require a team owner to approve user requests to join. The person who creates the team is by default the team owner, and they can assign owner rights to other users and manage requests.

## View Your Teams

- Click on the __Teams__ icon in your navbar to open the full teams view.
- The teams view is split into __List view__ and __Network view__ - shown as tabs on the lefthand side.
- The List view shows an alphabetical list of all teams in your account, as well as their connection to other teams.
- The Network view shows you a visual org structure of how each team connects to every other team.
- Click on a team name to open the full view (if you have access).

## Teams Pages

- An individual team page is made up of the __Feed__, where team members can share posts and comments.
- The __Users__ tab shows you all of the team members in the account.
- __Requests__ is where team owners can approve or reject requests to join the team.
- __Actions__ is where individuals can leave the team, and owners can edit the team details.

### Add team members

- After the team is created, go to the __Users__ tab.
- Click __Add users__, then search for colleagues to add to your team.
- When you've added their name you can select whether to make them a team owner as well.
- Click __Add users__ to save.

### Remove team members

- Go to the __Users tab__ where you'll see a list of all team members.
- Click __Remove user__ in the far right to remove them from this team.

### Join a team

- Anybody can join an open team or request to join a private team.
- Open up the team name and click the __Actions__ tab, then __Join team__.

### Manage requests to join

- Team owners of private teams need to approve or reject requests to join.
- To do that, go to the __Requests__ tab and click to approve or reject the new team member.

### Leave a team

- Team members can remove themselves from teams.
- Click the __Actions__ tab, then __Leave team__.
- If you're a team owner make sure that you assign owner rights to another team member before you leave!

## Edit a Team You Own

- Team owners click the __Actions__ tab, then __Edit team__.
- Click the __Expand__ button in the far right to change any settings.
- Click __Save changes__ to save your updates, or __Cancel changes__ to leave without saving.

### Team name and description

Change the team name and description. This is visible to everyone in the account so be careful with confidential information.

### Team relationships

- Change which teams this group belongs to, and which teams belong to it.
- Type in the team names in the Search fields and click out to save.

### Team privacy

Select whether to make this team private or open.

### Team image

- Click the default image to change this.
- You can either __upload an image__ or __search for an image__ from our stock photography library.
- Team images will be circle cropped throughout the app, so it's best to upload a basic square crop here.
- Click __remove image__ to delete your selection and return to the default image.

### Delete team

Team owners can permanently delete their team. This action is not reversible and you'll lose all posts and comments from the Feed, so proceed with caution!

Teams are groups of users on PeopleGoal. Anyone can create a team, and they're a flexible way of building your organizational structure and working groups.

Anyone can create a new team - not just account owners! Select the Teams menu in the lefthand navbar, then click "Create a new team".

# Relationships

__Relationships are connections between users on PeopleGoal. A typical relationship will be a Manager and a Direct Report. You can have many different relationships, helping to define your custom workflows and visibility options. Account owners will start by defining the relationship types you want to include, then assign specific relationships to all users.__

To view your relationships, click the __Account__ icon in the lefthand navbar, then click __Relationships__.

## Create relationships

Before you start building your workflows it's helpful to have your key relationships defined. Don't worry - you can return to the __Relationships__ menu to update these at any time.

- Click the __Create a new relationship__ button to define your relationship type.
- You'll be asked to list the supervisor (upper level) and the subordinate counterpart (lower level) titles - for instance, Manager and Direct Report. You should also enter a Relationship description. This helps to designate between reporting lines, for instance where a supervisor is a dotted line report rather than a direct manager of an employee.

## Assign relationships individually

On the relationships view, all employees are shown. At the top of the view you'll need to select the relationship type from the drop-down list to ensure you're assigning the correct relationships to your users.

- Zoom in or click __find a user__ to work with one individual, then double click their profile image to set their relationship.
- Both the supervisor and subordinate fields are visible here, so you can define an employee's manager at the same time that you set up that employee's own direct reports.
- Click in the field to search for your other users, then click __Set relationships__ to save.
- To move on to the next relationship type, select it from the drop-down list and follow the same steps.

## Import relationships in bulk

When you're working with a big group it's much easier to define all relationships at once, using the Import Template.

### Download and complete the import relationships template

- Once you've created your relationship types, click __Import relationships__.
- Click __Download import template__ to generate your unique .xls file.
- The file has three tabs: your Import Template, a Relationship Data and a User Data tab. Every field on [PeopleGoal](https://www.peoplegoal.com/product) has a unique ID which allows you to connect your data in endless combinations, and you'll use these IDs anytime you're managing a data import.
- Click on the first __Import Template__ tab and copy over:
- The Relationship ID (from the Relationship Data tab) for the relationship type you want to assign. This is the supervisor field - e.g. the Manager in a Manager/Direct Report relationship.
- The User ID (from the User Data tab) for the supervisor.
- The Counterpart User ID (from the User Data tab) for the subordinate(s).
- Of course, managers will generally have multiple direct reports, so make sure you repeat the same Relationship ID and User ID for each relevant Counterpart ID field.
- Save your file to your local machine once you're done, then head back to PeopleGoal and click __Next step__.

### Upload your import template

- Click __Select import data__ to choose your saved file, then __Upload data__.
- The upload is saved to the __Data imports__ list, and you can see the status of your import here.

### Manage your imports

The import status will read:
- Complete (green): import was successfully uploaded
- Part complete (amber): import was successfully uploaded but with errors
- Failed (red): import was not successfully uploaded

Click on an import listing to upload the full details and view any errors.

You'll need to check that you've structured your .xls file correctly, and you can take a look at Data import troubleshooting here.

You can also roll back to a previous version of your Relationships structure if needed. Click the __Roll back import__ button and your selected import will be deleted, and we'll restore the previous structure.

The status of your import will change to "Rolled back" (gray).

Relationships are connections between users on PeopleGoal. We'll explain in more detail how to create and update relationships for your full account.

Relationships can be created by account owners. Click the Settings icon in your navbar, then relationships. Double click a user to change their relationships.

In this guide, we will walk you through the step-by-step process of restoring access to users who have been previously removed from your account. Whether due to accidental deletion or any other reason, we'll provide you with clear instructions on how to reestablish their access, ensuring a smooth and seamless recovery of user accounts.

## Step 1: Employee logs-in in PeopleGoal
Provide the user with the sign-in URL: [www.peoplegoal.com/sign-in](https://www.peoplegoal.com/sign-in). They can either type this URL directly into their web browser or click on the provided link. Advise the user to log in using their old credentials. These include their previously used username or email address and password.

## Step 2: Employee requests access to account
Upon successful login, the user should locate and click on the "Join an existing account" button, which will be available on the dashboard or in the account settings section.

Subsequently, they will be prompted to enter the name of the company's domain, such as "microsoft". This information is crucial for associating the user with the correct existing account within the PeopleGoal platform. After entering the domain name, the user will be notified that the request was successful.

## Step 3: Account Admin approves access request

As an administrator, you will receive notifications when a user raises an access request. These notifications will be delivered through two channels: via email and within your PeopleGoal account. Whenever a user initiates an access request, you will promptly receive an email notification containing the relevant details of the request. Additionally, when you log in to your PeopleGoal account, you will find a notification alert indicating that an access request has been raised. By monitoring both these channels, you can efficiently manage and respond to access requests, ensuring smooth user onboarding and access control within the PeopleGoal platform.

Upon clicking the notification, you will be instantly redirected to the Requests page within your PeopleGoal account. Here, you will find all the pending access requests from users. As the administrator, you will have the authority to review and evaluate each request individually. You will be presented with the option to approve the access request, allowing the user to gain the specified permissions and privileges within the PeopleGoal platform. Alternatively, you may choose to deny the request if deemed necessary. This streamlined process enables you to efficiently manage access permissions and ensure appropriate user privileges, contributing to a secure and organized user experience within PeopleGoal.

## Step 4: User regains access
Once Step 3 is completed, the user will regain access to their account after they log back in. By successfully completing the necessary actions or verification during Step 3, the user's account will be fully reinstated and operational. When they log in using their credentials, they will be able to access all the features, data, and functionalities associated with their account, just as they did before any access-related issues occurred.

# How do I edit an item that's been submitted to the next state?

If you've submitted an item and you'd like to make changes to it, you'll need to send it back to a previous state in the workflow. An item can be edited either by the app owner or by the current participant in the state it's in. So, for example, if you've submitted your OKRs to your manager to approve but now you want to make a change, your manager will need to change the OKRs state because they are the current participant.

To edit an item's state:

- Open the item you want to edit.
- Click the __Edit__ menu in the top lefthand corner.

- Then select the __Item state__ setting, and choose which state to send this form to from the drop-down list.
- Click __Save changes__ to update your state.

- Finally, if you want to also change the item's status flag, click the __Item status__ menu.
- Select your status flag from the drop-down list.
- Click __Save changes__ to update.

Now click __Form__ in the top lefthand corner and you'll return to the item in progress, with its newly updated state and status flag.

## Your Account

You can belong to as many PeopleGoal accounts as you'd like. 

- The Account icon in the top left shows the current account you're on. Click here to switch between your accounts.
- Click __Add an account__ to create a new account.

Each account will have its own subscription, so unless you're overseeing multiple regions with their own separate processes and billing, it's best to invite everyone in your organization to join one account. You can control access to apps by creating Workspaces for each region.

## Dashboard

The Dashboard is your account homepage and has a summary of all of the items and tasks you own, as well as your teams and relationships.

- The __To-do__ list will show all of the items that you currently own. You can see the status of each item in the bottom of the item tile. Click on an item to open it up and complete any outstanding tasks.
- Under the to-dos you'll find your __Company news__. This is an aggregated feed of posts from your teams, apps and workspaces.
- On the lefthand side you'll see the Search bar. Type here to search for other account users and view their PeopleGoal profile.
- Underneath the Search are all the __Teams__ you belong to. Click on a team name to open up the Team homepage.
- Under teams, you'll find your account default relationship (this is usually Manager, Supervisor or Team Lead). Click on a username to view all items belonging to this user (you'll only see items that you have permission to view!)

## Workspaces

The Workspaces tab will show all of the workspaces in which you're a member.

- Click the Workspace tile to view all the apps it contains.
- Your recently-used workspaces will also show up as icons on the lefthand navbar with a pop-up list of your commonly-used apps.

## Teams

Teams are the groups that all users belong to.

- Clicking __Teams__ will bring up the full organizational structure for you to view, create a new team or search for a team.
- The __List view__ shows an alphabetical list of all teams. Click the arrows to expand details, and click the team name to view all details and team members.
- The __Network view__ shows how your teams connect to one another. Double click the team icon to go to the full team details and view its team members.

## 1. Install the Asset Tracking App

- Open up any workspace, click __Create a new app__, then select __Store template__.
- Select the *Asset Tracking* app and click __Add this to your account__.
- Select the workspace (and workspace folder) you want this app to belong to from the drop-down menu, then click __Install template__.

We'll take a few seconds to add this to your account, and you'll be taken straight to the app to get started.

All of the pre-built tracking form questions and states are installed and ready to go. You can use the app right out of the box! To skip the customization, <a href="#manage">head on down to step 4</a> and set up your app participants and permissions.

## 2. Customize the Asset Tracking App Template

If you would like to configure the asset tracking form to add your own questions and states, click the __Template__ menu, then __Edit template__.

### i. Edit existing elements

Elements are your individual form fields that make up your tracking form. Whether they're text questions, drop-down menus, display-only fields or numerical calculations, every element can be changed to suit your custom process.

- To change a field, hover over the right-hand side of the element and click the three dots that appear.
- Select __Edit element__ (your element will have a name like "Select", "Description", "text area", etc.). The element editor will open up.
- Change any fields you need to and click __Save changes__ to update.

You should note that each element is unique, so if for example you change the rating set on one element you'll need to change any other questions to match this. Don't worry, it's quick and easy to duplicate an element once you're happy with its setup. 

### ii. Duplicate elements

- Hover over the right-hand side of the element and click the three dots that appear.
- Select __Duplicate element__ and an exact copy will be created below.
- Edit the duplicated element to change your question text.

### iii. Reorder elements and sections

Reordering is super easy - you just click and drag to change the element or section order.

- Hover over the left-hand side of the element (or section title) and click and drag your element or section to its new location.
- To move an element to a different section, hover over the right-hand side and click the three dots that appear.
- Select __Change section__ and choose the new section you want the element to belong to.

### iv. Create new elements and sections

- At the bottom of each section, click __Add element__ and select the element type you want to insert.

A new element that's useful to add to your first section is a display-only Description or Rich-text area. You can use this to detail the asset tracking process and explain exactly what's included.

To add a new section, scroll to the very bottom of your template form and click Add section. Then click and drag your new section to where you want it to sit in the survey flow.

- In the example, we add a section with a calendar element. This calendar will prompt employees to provide an estimate for the period of time that they intend to use an asset.

## 3. Configure the Asset Tracking App States

States are the steps in your Asset Tracking workflow, and each state has its own participant. The Request New Asset is one state and the Asset Requestor is the participant - likewise with the Asset Manager and Asset Holder recording and confirmation states.

There's no limit to the number of states you can add to your survey workflow. What's more, you can select whether each state is read-only, editable or hidden to the selected state participant.

### i. Add a new state

- Click the __+__ button in your workflow builder to create a new state.
- Enter your state name, define the participant, and choose a status flag.
- Toggle on/off whether sections are visible or editable by default (don't worry - you can override this later if you need to).
- Click and drag your state to reorder your tracking form workflow and you're done!

See how we add in a new state for *Asset Maintenance* for the Asset Manager. The purpose of this final state will be to ensure that the relevant checks are made by the Asset Manager once the Asset Requestor has finished using the asset. We will also need to include a new section below Asset Details, named Asset Condition. This section is can only be edited by the Asset Manager so we'll make it read-only in the other states. Here the Asset Manager can update the others on the condition of the asset and if there is any new damage or if any repairs are necessary.

### ii. Delete a state

- To take out a state you won't be using, click the __Template__ tab and select __Configure states__.
- Select the state you want to delete and you'll see the blue highlight bar appear to confirm which state you've selected.
- Click __Delete state__ to remove it completely.

### iii. Customize your status flags

Every state has a default status flag that indicates to all participants what stage of the process their item is in. Your Asset Tracking app is set up with default status flags which you can customize.

- In the __Configure states__ menu, click on __Manage status flags__.
- Click a flag title to rename it, and click the color picker to choose a new flag color.
- Click __Create a new status flag__ to add an additional flag.
- Select the state to which you want to assign your flag, choose which flag to give it and click __Save changes__ to update.

We recommend that you delete any unused status flags so that they don't clutter up your Item filter once you've launched your tracking forms. You may want to alter the colors of your flags or as we've done create a new status flag titled "Awaiting Approval" for when the form is between states for approval.

## 4. Manage your Asset Tracking App Participant and Permissions

Participants are the individuals involved in the Asset Tracking form and each state has one participant. To automate your Asset Tracking process you can create default participants based on your account [Relationships](https://www.peoplegoal.com/support/article/relationships), define an individual as the state participant, or leave these blank to allow the employee to select all participants when they come to fill in the form.

Setting up your participants based on relationships means that when an employee creates a new form, all of the people who need to be involved in the workflow are automatically assigned.

### i. Set default relationships and users

- Open up the __Configure states__ menu and select __Manage participants__.
- For each participant set a default user or default relationship to automate the tracking form workflow.
- You can also rename the participants to suit your company language.

In our example, we have designated the default user for the Asset Manager role to Chet Hirthe, as they are going to be responsible for all of the assets in our company. This way whenever an employee makes a request for any company assets, they will be notified.

### ii. Define the participant's visbility

If you have lots of different participants you need to control who can see the data at every step. Visibility defines whether a participant can see the review only in the state that they own (limited visibility), or in all states (full visibility).

By default participants can only see the form when it's in a state that they own. For Asset Tracking, all participants should have full visibility because we want them to see the discussion and comments mad by all involved in assigning assets before they are officially released. The employee will see the form in the first and last state - when they draft their request and again when it comes back to them for the final confirmation. These are the states where the employee is the participant.

The asset manager and holder will also both have full visibility over the whole process - even when they're not directly participating.

- To change a visibility level, click the drop-down next to the participant name and choose Limited or Full visibility.
- Click __Save changes__ to lock in your updates.

### iii. App-wide permissions

Permissions control the access to your app within your PeopleGoal account.

- To set your permissions, click on the __Settings__ menu, then expand the __Permissions__ section.
- Click on *Explain permission types* to understand the access that each permission gives your account users.

In your Asset Tracking form, we'd recommend you set the permission to Create only. This means employees can create forms for themselves but can't see any colleagues' forms since this isn't really necessary and prevents confusion.

### ii. Specific team and user permissions

The user who installed the Asset Tracking app template has __Owner__ permission by default and can assign specific permissions to other teams or users. Specific team and user permissions replace the default permission type.

- To assign a specific permission, select __Configure specific permissions__, then under "User permissions" click __Add user__.
- Type your colleague's name to add them to the permissions list. In the "Permission type" column, select which permission level to give them.

You might want to give "Create and view" permission to your C-Suite so that they can oversee the status/ omments for all Asset Tracking forms but without being able to change the app settings or edit forms they're not a participant in.

## 5. Creating Reports

Every single data point entered in apps from PeopleGoal are collated and can be used in data analysis. To see the data at work, jump over to the __Data__ tab and marvel at the wonders of the numbers.

From here you can sort and filter any categories you like. Whether you want to know what the most requested asset is or the time at a certain time of the month that assets are most in-demand, you can play around with the various charts and responses to determine what matters the most to your company. This tool is really powerful and can make a difference in optimizing how your company uses all of its assets. Analyzing the activities and demand for particular assets can reveal a lot about how you may want to distribute assets amongst team members.

## 6. Launch your Asset Tracking Forms!

There you have it, your Asset Tracking Process is all set and good to go! All you need to do now is invite your employees to start making New Asset Requests. You are able to create and assign these yourself or have users make their own as and when they need to.

- To create a new form, select __New Asset Request__ and then select the participant(s).
- To start a form for yourself select your own name.
- To start forms for multiple individuals, click __Select user(s)__ and search for individual employee names.
- Or, click __Select team(s) of users__ and you can kick off forms for entire user groups!

# Option Elements

__Option elements are used when your participants need to select their answers from a pre-built list, or select from your users, teams, and items. They can be applied in so many use cases, though most often get used for ratings, both numerical and conditional (Likert-scale questions).__

There are five option elements:

- <a href='#grid'>Grid</a>
- <a href='#user'>User select</a>
- <a href='#team'>Team select</a>
- <a href='#item'>Item select</a>

## Select

Select options allow participants to select their response from a drop-down menu or list. They're most commonly used for ratings, but can also be used for multiple choice questions.

When editing a select element, you can choose 'Single choice' or 'Multiple choice' as your option type. You can also select 'Dropdown' or 'List' as the display type - generally, the list display is easier to use for multiple choice responses where participants may not know what the full list of options is.

Each option gets a unique name and color (select the color field to pick a new color). For ratings, you should also assign a number value to each option. These are used in your [Reports](https://www.peoplegoal.com/support/article/reports) and in any calculations (more on calculated elements below). Some of the applications of select options are:

__Review and Feedback ratings__

Having a custom rating set - with your own scale and descriptions - is a key part of creating meaningful, relevant reviews and feedback across teams. Whether you're using Exceeds/Meets/Below Expectations or a 1-5 scale, the select option allows you to easily create and duplicate a rating set within your apps. You can also include as many different rating types as you need within one form, because each rating is its own unique element on the template.

__Diversity & Inclusion metrics__

When running a D&I or [Engagement survey](https://www.peoplegoal.com/blog/engagement-surveys-how-to-track-improvements-in-employee-engagement), it's important to protect the anonymity of participants. Open-ended text questions could give away too much info about the respondent and make your data difficult to compare. A multiple choice select element on your [engagement survey](https://www.peoplegoal.com/blog/employee-engagement-survey-questions) means you can define specific areas to measure, and let respondents pick any or all of the responses that suit them best.

### Grid

The grid element is great for bundling ratings together and being able to easily select a response for each row. When setting up a grid element you define your column and row names, and include a number value for each column to help with reporting and calculations. You can add as many rows and columns as you need depending on the data you're capturing.

When selecting a display type, be aware that the Radio buttons are used for single-choice responses and the Checkbox buttons for multiple choice answers.

__Competency ratings__

Core competencies are often used in a peformance review or [360 degree](https://www.peoplegoal.com/product/360-degree-feedback-software) [feedback process](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide). Respondents rate the demonstration of competencies along a pre-defined scale (from 1-5 or Poor to Excellent), and the grid element allows participants to easily provide a rating for each competency without having to click multiple drop-down select ratings.

__Onboarding Checklists__

There are many participants in a new hire's onboarding process, and lots of different checkpoints along the way. A grid element will help to get a clear picture of what's in progress and what still needs to be done along the way.

### User select

The user select element allows participants to select one or many other users in your [PeopleGoal](https://www.peoplegoal.com/product) account when referring to other people within their app workflows. Note that the person tagged won't be notified that they've been selected, allowing you to reference other users in a completely confidential way. The users to select are generated from your account user list, so you'll be able to select any colleague on the samee PeopleGoal account. When you're setting up a user select element you'll need to select whether the response is single choice or multiple choice.

__360 Feedback__

[360 feedback](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide) is often asked for confidentially by an employee's line manager. To keep these responses confidential, you don't have to include the Employee as a participant in the app workflow. Simply set the line manager as the first participant, and use the user select option to indicate who this feedback request will be about. Because the users tagged are not notified in any way, this feedback is completely confidential between the provider and the line manager.

__New Joiner Survey__

A [new joiner survey](https://www.peoplegoal.com/app-store/template/new-joiner-survey) is a crucial point in the [onboarding process](https://www.peoplegoal.com/blog/5-key-employee-onboarding-process-steps-to-master), where you can guage how your new talent is settling in and if there are any areas they need more help. Another great question to ask is whether anyone in the company has gone above and beyond in their onboarding, or if there's anyone else they'd like to get to know better.

### Team select

Similar to the user select, the Team select element asks participants to select one or many of the account teams from a drop-down list. Team members are not notified, but this is a useful field to include in your app reporting and item management.

__Team OKRs__

When setting up team and department OKRs, use the team select option to indicate which team(s) will be contributing to this OKR. You can then include [the Team field in the App overview so th](https://www.peoplegoal.com/product/okrs-software)at all employees can see at a quick glance which team is responsible for the OKRs listed. This is also useful for cross-functional working, where you can select multiple teams from the drop-down list and report on how various teams work together on achieving the business targets.

__Asset Tracking__

Generally asset tracking is used on an individual basis, but there are some cases where a team will have shared use of an asset in your company. The Asset Manager can use the team select option to indicate which team is taking ownership of this asset, and easily follow up with any team members on the asset's condition and whereabouts.

### Item select

The item select element is a quick and easy way to link your app data together, and bring in items from one app into another while you're working on a separate process. When you add an item select element you define which apps the user will select from. The participant then gets a drop-down list of all items they have permission to view within the reference app, and they can select individual items. Clicking on an item they've tagged will bring up the item details in a drawer, so they don't need to navigate away from what they're working on and can quickly reference details from the linked item.

__Aligning OKRs to Company objectives__

Setting strategic OKRs requires individuals to contribute to the wider business framework. Aligning individual OKRs to [company objectives](https://www.peoplegoal.com/employee-performance-management/aligning-company-objectives) gives employees that framework and connects them to the organizational goals in a direct and meaningful way. Being able to view the full details of each objective when creating their OKRs also allows employees to see the Key Results and overall progress of the company goals, and get an idea of which targets need more support.

__Referencing Reviews in a Development Plan__

[Development plans](https://www.peoplegoal.com/blog/development-plan) are very often set at the start of a new performance period, and taking into account comments made in any past performance reviews is helpful to start to frame your development goals. There's an added bonus with the flexibility of the item select element: managers can select their own performance review and their direct reports' reviews, to easily see the leadership areas they need to develop based on their employees' feedback.

## Number

The Number element is a basic number input for participants to enter a value. These can be whole numbers or decimals, and you can set the minimum and maximum value in your Number element editor (leave these blank for no min/max). When providing their number response, users can type in a number or use the up/down arrows to increase/decrease their input.

## Currency

The Currency element works the same as the Number element, with the currency indicator automatically added to the numerical value. Click the __Select currency__ field in your element editor to choose your local currency.

__Training Course Costs__

When applying for external training courses under a department's budget, employees can use our [Training Approval app](https://www.peoplegoal.com/app-store/template/training-approval) to request approval for course registration. In the Training Course details, a currency element is included so that the Approver can assess whether the course is within the budget and appropriate for this course type.

__Salary Input__

In a new hire application form or a compensation benchmarking process, include a currency field for the employee's expected salary. You can then report on the range of salaries added by applicants, use these for benchmarking in your compensation workflow, or compare expected salaries to the departmental budget.

## Percentage

And, just like the Currency element, the Percentage element adds the __%__ indicator to the end of the input percentage. On all of the numerical fields you can enter a placeholder number to give the participant an idea of what they should be entering - particularly useful in the Salary increase recommendation example.

__Salary increase recommendation__

We've included an HR/Finance review in our Performance Reviews app. This app makes use of a few different element types! First we pull the employee's current salary using the Profile value element. Next we add our percentage element to ask the HR/Finance reviewer for their recommended percentage increase. This is a great example of using an anchor placeholder - we've set this at 5% as a benchmark. Once the participant puts in their recommended increase, a calculated element will show the final salary after the increasee is applied.

__Weighted OKR contribution__

If you want to get really technical with your Key Results progress, you can add a percentage weighting to each key result.[ You can then apply the weighted percentages to your progress calcula](https://www.peoplegoal.com/product/okrs-software)tion, making sure that some key results count more than others.

## Slider

The Slider element lets users click and drag the slider along a pre-defined scale. This can be anything you like - we default to a 0 - 10 scale, but you can set your minimum and maximum values in the elemnet editor. Some people prefer to use the slider for performance ratings over the drop-down select.

In the __Select label type__ field you can choose a percentage or currency label. When you're assessing progress the slider is a more intuitive element to use than the percentage input.

You can also choose to display your slider horizontally or vertically. A vertical slider works best when it's a smaller scale (0 - 5); and for anything larger we'd recommend using the horizontal display.

__Goal progress__

The most common use case for a slider is to indicate the overall progress of your goals and objectives. Set the slider to a 0 - 100 scale (or 120 if you want to capture how far people exceed their targets!) and employees will click and drag to indicate how far along they are in achieving their targets.

__eNPS__

eNPS stands for [Employee Net Promoter Score](https://www.peoplegoal.com/blog/employee-net-promoter-score), and is taken from the NPS - a score typically used to assess how likely someone is to recommend your business or product to others. In the context of employee engagement this is a really easy to measure metric that asks employees on a scale of 0 - 10, how likely are they to recommend your company as a great place to work. You can use this score to benchmark your overall company satisfaction in your first [engagement survey](https://www.peoplegoal.com/blog/engagement-surveys-how-to-track-improvements-in-employee-engagement), and then track your progress as you run more surveys.

## Range Slider

The Range Slider has all the same options as the Slider element, but gives you two indicator points along the slider bar.

Users will input both a minumum and maximum value (instead of a single-point value in the slider element) to show a range in their response. Some areas where this is used include:

__Baseline vs. Target indicator__

When setting up quantitative targets it's really useful to track your baseline (your starting point) vs. your target value. Using a range slider lets you easily visualize your current progress vs. the baseline, and how far you are from achieving your target.

__Salary range__

In a new applicant tracker or a compensation assessment, use thee range slider to ask what salary range this particular role falls under. This data can then be used in your reporting, or simply to assess whether the applicant's expected salary is within the range for this department's budget.

## Calculation

The Calculation element has a huge range of applications - from showing average [performance review](https://www.peoplegoal.com/blog/performance-review-ratings-are-they-necessary) ratings to calculating what a final salary would be after an increase is applied, or tallying up how many responses have been given within a survey. The Calculator element can be used on any form element where a numerical value applies; so every element in the Numerical group as well as Selects and Grids.

To start building your calculation:

- Name your element (e.g. Total pay packet after bonus)
- Select how many decimal places to display in the calculation
- Add an optional prefix or suffix (e.g. a currency placeholder for $ values)
- In the formula bar, select from the Functions (sum; average; count) and Operators (add; subtract; multiply; divide) and then scroll down to select which Elements to calculate.
- In the Formula bar your element IDs will display, with a preview in the field below. Remember to encase all elements in brackets.
- Underneath the Formula area, your output Result will display in grey, or you'll see red error indicators to update your formula until it's correct.

__Compensation and bonus calculation__

Going back to our Percentage example, the calculated element is used to show what the employee's next salary will be after their increase. The structure of the calculation is simple and uses just the two elements above. You can see your output below the Formula field to check if the formula structure is correct.

__Average performance review ratings__

As an overall indication of a review score, we've taken an average of the employee, their line manager and their senior manager's review scores. You can also calculate an average of responses to individual review questions to show an overall average, and then create an additional option > select element for the reviewer to select a final score in line with your review ratings.

   - **Overdue Goals Report**: Highlight goals that have passed their deadline without being completed.
   - **Goals Achievement Timeline**: Show the timeline of goal achievement across teams or departments.

2. **360 Feedback**
   - **Feedback Completion Report**: Track the number and percentage of employees who have completed their feedback tasks.
   - **Feedback Summary Report**: Summarize the feedback received by each individual, including strengths and areas for improvement.
   - **Team Feedback Report**: Present feedback trends and patterns at a team or department level.
   - **Comparative Feedback Report**: Compare feedback across different time periods or between teams.

3. **Performance Reviews**
   - **Performance Rating Report**: Outline the distribution of performance ratings across the organization.
   - **Performance Improvement Report**: Identify individuals who have shown significant improvement in their performance.
   - **Performance Gap Report**: Highlight discrepancies between self-ratings and manager ratings.
   - **Team Performance Report**: Summarize the overall performance of each team or department.

4. **DEI (Diversity, Equity, and Inclusion) Surveys**
   - **Diversity Report**: Present data on employee demographics (e.g., gender, race, age, etc.)
   - **Inclusion Report**: Show trends or patterns in how inclusive employees feel the workplace is.
   - **Equity Report**: Analyze pay equity, promotion rates, and other potential equity issues.
   - **DEI Progress Report**: Track changes over time in DEI metrics.

5. **Employee Onboarding**
   - **Onboarding Completion Report**: Track the number and percentage of new hires who have completed each onboarding task.
   - **Onboarding Satisfaction Report**: Measure new hire satisfaction with the onboarding process.
   - **Onboarding Effectiveness Report**: Analyze whether new hires are reaching performance expectations within the expected timeframe.
   - **Time-to-Productivity Report**: Show how long it takes new hires to become fully productive in their roles.

These reports can provide actionable insights to guide decision-making and improve the effectiveness of your HR programs.

## How to Create Custom Charts

To begin, open up an app and click on the __Data view__.

Charts help to visualize the item data submitted by users in the app. You can build charts on top of the data table, and keep all of your raw data visible below.

You can create charts on the full data view, or on one of the report templates you've created.

To select a different report, click on the __Report name__ drop-down list and choose the report you want to work with. You can also choose to create a new report template here.

Click the __Chart__ button, then select the chart type you'd like to create.

The chart type you use will depend on the type of data you've recorded and how you want it to be displayed. When you're getting started try to create one of each chart type to get to know their features and which elements they work best with.

Once you've selected a chart type, a blank chart will appear. Click the __pencil icon__ in the far right to edit the data set(s).

### Reorder charts

You can create as many charts as you'd like within your report. They'll generate in a recommended display, but you can drag and drop your charts to other positions. You can also resize the vertical and horizontal borders to change the chart size.

Click __Save template__ to save your updates to this report.

### Understanding Charts

Now that you know how to create and reorder charts, let's get into further detail about using the various types of charts.

#### Line Chart

A Line Chart is great for tracking a variety of measures. Traditionally it is applied for monitoring change over time, for example the percentage completion of [team goals](https://www.peoplegoal.com/blog/how-to-set-clear-goals-for-your-team) over a quarter.

To set up a Line chart, click __Chart__ and then __New line chart__.

Then go to the top right of the box that appears and select the __pencil icon__. From this next screen, you can configure precisely what data you would like to interpret. Within these settings, you can alter the timeframe used in your chart, along with the various parameters involved.

To select the data you wish to be entered on the Line chart, scroll down and select __Add dataset__. In the new dataset box that appears select the data element you would like to learn more about. You can add multiple datasets to the same chart for a cross-analysis.

In our example, we have created a projection for the cumulative progression of SMART goals created in the [SMART Goals app](https://www.peoplegoal.com/app-store/template/smart-goals). Over the course of time, as more and more participants set their goals, the chart will develop.

#### Bar Chart

A Bar chart is one of the most traditional formats for presenting data. The simple structure can be easily interpretted by any individual, provided you have a clearly defined x and y-axis.

To set up a Bar chart, click __Chart__ and then __New bar chart__.

Then go to the top right of the box that appears and select the __pencil icon__. From this next screen, you can configure precisely what data you would like to determine. There are various options to alter how the bar charts will be displayed, you can edit based on your preferences.

To select the data you wish to be entered on the Bar chart, scroll down and select __Add dataset__. In the new dataset box that appears select the data element you would like to learn more about. You can add multiple datasets to the same chart.

If you would like to stack the charts on top of each other for a direct comparison, then be sure to toggle __Stacked__ to on when you add additional datasets.

This is what we have done in our example. We have created a Bar chart that presents each participants responses grouped together to better understand how each individual has responded to the form.

#### Pie Chart

The Pie chart is possibly one of the most recognizable formats for representing data. When using a pie chart, you are able to order all of your data points proportional to each other.

For example, you may want to establish how a team rated their overall performance in completing a project. This is what we have created in the image posted below.

To set up a Pie chart, select __Chart__ and __New pie chart__ to create the chart.

If you decide you would like to change the element that the Pie chart is presenting, then click on the __pencil icon__ in the top right of the box.

Here you can change the title of the chart, add annotations or change the element. Using the drop down box, for __Select element__, you are able to change the data that will be presented in the Pie chart. Simply select the relevant point or question of interest and click __Save changes__.

#### Polar Chart

Not to be confused with a Pie chart, the Polar chart provides an extra-dimension to the traditional Pie. Curated in a similar fashion, with proportional segments representing a specific data point, the Polar chart differs from the Pie chart due to the inflated nature of the segments.

A Polar chart will inflate each segment to a proportional size to demonstrate the population or responses of an element.

To set up a Polar chart, click __Chart__ and then __New polar chart__.

Then go to the top right of the box that appears and select the __pencil icon__. From this next screen, you can configure precisely what data you would like to determine.

Whatever data you would like to display on the Polar chart, go to __Select element__ and click on your desired element or question.

We've gone with the State element as our example. It presents a clear representation of how all participants are getting along with fulfilling their workflows and the colors can be altered to provide greater clarity on what each segment represents.

#### Radar Chart

A Radar chart, also known as a star chart, is a really helpful format for visualizing a comprehensive evaluation of your data. This vivid chart provides an intuitive description of data, whilst giving dynamic analysis.

To set up a Radar chart, click __Chart__ and then __New radar chart__.

Then go to the top right of the box that appears and select the __pencil icon__. From this next screen, you can configure precisely what data you would like to determine. Be sure to select how you would like to group data by the question/ focus for this chart.

To select the data you wish to be entered on the chart, scroll down and select __Add dataset__. In the new dataset box that appears select the data element you would like to learn more about. You can add multiple datasets if you would like to stack the charts on top of each other for a direct comparison.

As always once you're done configuring your chart, select __Save changes__ and enjoy your pretty chart.

The Radar chart is most effective when used to represent single select responses. This is what you can see in the example below for our analysis of [Company Culture Survey](https://www.peoplegoal.com/blog/top-10-company-culture-survey-questions) reponses.

#### Metric Chart

The Metric chart is a great tool to present any calculations or numerical data. With a Metric chart, you are able to apply functions to your data. For example, you are can present the average or sum of a particular response or completion slider.

To set up a Metric chart, click __Chart__ and then __New metric chart__.

Then go to the top right of the box that appears and select the __pencil icon__. From this next screen, you can configure precisely what data you would like to determine. Using the formula box, you can use the preset funcitons with your elements from the workflow to create any metrics.

In our example, we have created a formula to calculate the average goal progress for a specific team. Any users that look at the Data section will be able to see this projection, therefore indicating to them how well are performing in comparison to their peers.

## Schedule Reports

Once you've saved a report template, you can schedule this report to run on a set schedule and notify selected recipients.

Open up the report template you want to schedule, then click __Schedule report__. This will pop open the Report Schedules view where you can see and edit existing report schedules.

### Create a new scheduled report

Click __Schedule new report__.

Select your report frequency (daily, weekly, monthly or yearly) and the send interval (every 1 month as an example).

Choose the start date and time on which your first report will be sent.

You can optionally choose an end date, too.

Enter your recipients' email addresses in a comma-separated list. Everyone on this list will receive the scheduled report at the times and frequency you've created above.

Enter an optional message to go along with your notification email and report attachment.

Click __Save report schedule__ to close.

### Edit a scheduled report

Open up your app's __Data__ tab, then click the __Schedule report__ button.

A list of all scheduled reports will appear here.

Click __Edit__ to change the report schedule details and add/remove report recipients.

__Workspaces are the containers for all of your apps. Think of a workspace as a category within your account - like Performance Management, Onboarding and Talent Development. They make your [PeopleGoal](https://www.peoplegoal.com/product) account easy to navigate for users, and easy to manage for owners. Workspaces have their own permission settings which allows you to control who can see, create and edit all of the data contained in the workspace.__

## Install a Workspace Template

- Click on the __Workspaces__ icon in the navbar.
- Click __Create a new workspace__, then select __Store template__ to browse our available templates.
- You can use the filter to search for specific HR topics, or just browse all workspace templates. Click on a template to view the details and see which apps are contained within it.
- Click __Add this to your account__, then __Install template__ to confirm. We'll do the rest!

## Navigate the Workspace

Your brand new workspace will now appear as an icon on the lefthand navbar. Click the icon to open the full workspace.

There are three main sections to a workspace - the __Apps__ it contains, the __Activity__ feed and the __Settings__.

### 1. Apps

When you install a workspace template we'll automatically create the recommended apps, too. It's as easy as that! The __Apps__ tab will show you all of the apps contained within this workspace. You can learn how to manage those in the [Apps article](https://www.peoplegoal.com/support/article/apps).

### 2. Activity

The activity feed shows you a log of all changes and updates made to this workspace. This is useful when you have multiple workspace owners, so you can see who's making changes and when those took place.

### 3. Settings

This is where you can change the name, description and look of the workspace, and set up your accesss permissions. We'll have all of this pre-built for you, but you can head over to Become a Pro to learn how to configure these yourself.

## Manage the Workspace Settings

Workspace owners are the only ones who'll have access to the Settings tab. By default the person who installs the workspace is the owner, and you can give owner rights to other users later on.

- Click __Expand__ in the far right of each settings section to make your changes.
- Click __Save changes__ to lock in your updates, or __Cancel changes__ if you don't want to save any updates.

### Details

Change the workspace name and description. Both of these are visible to all users who have permission to view this workspace.

### Image

This is the workspace cover image. Click the default image to update this.
- Select __Upload image__ to upload your own image file or click __Search for an image__ to browse the stock photography library.
- The workspace image is cropped 3:4 in the overall workspaces area, and circular cropped in the individual workspace view, so make sure to choose an image that works for both.

### Style

Select the workspace color and display icon. By default these will be the same for any new apps you create within the workspace.

### Status

There are two workspace statuses: __published__ and __draft__. When you install a workspace template it's already published, meaning it's visible to everyone and you can immediately start to use the apps within it.
- If you'd prefer to unpublish the workspace until you've made all the changes you want to, switch the "Published" toggle off.

### Permissions

Permissions control who can view and interact with your workspace. You should read our [Permissions article](https://www.peoplegoal.com/support/article/permissions-and-visibility) to understand this functionality fully. The [Become a Pro section](https://www.peoplegoal.com/support/category/become-a-pro) will show you how to change the permissions for your installed workspace template.

### Delete workspace

Proceed with caution here! Deleting your workspace will delete all of the apps within it, and any items created from those apps. __This cannot be undone__.

If you'd like to remove access to this workspace temporarily, then change the workspace status to draft instead.

__Running a regular company culture survey will establish a strong and positive organizational culture. By creating a survey that is easy to follow with automatically scheduled reminders, you will achieve higher response rates and a more cohesive company culture.__

Creating Company Culture Surveys with PeopleGoal couldn't be easier. This 'How-to' article will take you through the neccessary steps to get your Culture Survey up and running in a matter of minutes. The app template has been created for you and is ready to use straight away, or you can customize the question set further to align with your own company values and ways of working. This survey can also be sent anonymously by using the webform function in the app settings.

## 1. Install the Company Culture Survey App Template

- Open any workspace, then click __Create a new app__ and select __Store template__.
- Select the __Company Culture Survey__ and click __Add to your account__.
- Select the workspace you want this app to belong to, then __Install template__.

## 2. Customize the Company Culture Survey App Template

To customize the questions in your survey, click the __Template__ menu, then __Edit template__. 

Using the easy template editor you can insert elements for different styles of questions - select boxes, written responses, sliding scales and more.

### i. Edit existing elements

Elements are your individual form fields that make up your survey. These can be anything from text questions to rating selects, display-only fields or numerical calculations, and every element can be changed to suit your custom process and company culture.

- To change a field, hover over the right-hand side of the element and click on the three dots that appear.
- Select __Edit element__ (your element will have a name such as "Select", "Description", "Rich-text area" etc). This will open up the element editor.
- Make any changes to the fields where you need and click __Save change__ to update.

In this example, we will change the "Our company culture focuses on integrity, teamwork and co-operation" field to have a different question title and display text to better suit your company language. Additionally, we can alter the field to make the response optional by marking it "not required".

You should note that these changes only apply to that specific element. This means that if you were to change the rating set on one element you will need to change any other questions to match this. But don't worry, to prevent you from trawling through every individual element you have an option to duplicate an element once you've got it set up to your liking.

### ii. Duplicate elements

- Hover over the right-hand side of the element and click on the three dots that appear.
- Select __Duplicate element__ and an exact copy will be created below.
- Edit the duplicated element to change your question text, and click __Save changes__ to update.

### iii. Reorder elements and sections

Reordering is very straightforward - simply click and drag to change the element or section order.

- Hover over the left-hand side of the element (or section title) to click and drag your element or section to its new location.
- To move an element to a different section, hover over the right-hand side and click the three dots that appear.
- Select __Change section__ and choose the new section you want the element to belong to.

### iv. Create new elements and sections

At the bottom of each section, click __Add element__ and select the element type you want to insert.

A new element that's useful to add to your first section is a display-only Description or Rich-text area. You can use this to remind employees and managers of the purpose of taking a company culture survey, or give instructions on how to complete the survey.

To add a new section, scroll to the very bottom of your template form and click __Add section__. Then click and drag your new section to where you want it to sit in the survey flow.

## 3. Set Anonymous Company Culture Survey Responses

Now that you've got all of your questions in order, you're almost ready to launch! There's just a couple of permissions that you'll need to set first.

The strength of company culture surveys is the value of the anonymity they offer. Giving employees the opportunity to provide honest responses, without concern for the repercussions, enables teams to build on truthful and therefore valuable feedback.

### i. Set anonymous responses only

For the protection of the employee's identity, use the webforms functionality to allow users to fill in surveys without any connection to their [PeopleGoal](https://www.peoplegoal.com/product) account.

- Click on the __Settings__ menu, then expand the __Webforms__ section.
- Ensure that the toggle for __Webform enabled__ is on (it will be colored blue).
- Check that __Anonymous responses only__ is also on/blue.

You can then copy and share the link that appears above the toggles to invite employees to conduct the surveys anonymously.

## 4. Set the Company Culture Survey Permissions

Permissions control the access to your app within your PeopleGoal account. Different levels of access will determine to what extent users can create/edit surveys.

- Set permissions by clicking on the __Settings__ menu, then expanding the __Permissions__ section.
- Click on *Explain permission types* to understand the access that each permission gives your account users.

### i. App-wide permissions

For Company Culture Surveys, we'd recommend you set the permission to __Create only__. This will allow employees to create surveys for themselves, but without being able to see any colleague's survey responses.

### ii. Specific user permissions

The user who installed the Company Culture Survey app template has __Owner__ permission by default. Any specific team and user permissions supercede the default permission type.

- Assign a specific permission by selecting __Configure specific permissions__.
- Under "User permissions" click __Add user__.
- Type your colleague's name to add them to the permission list. In the "Permission type" column, select which permission level to give them.

It's a good idea to give "Create and view" access to your C-Suite, so that they can see all survey responses without needing access to the app settings or template.

### iii. Specific team permissions

If, for example, you have a specific team that you intend to grant permissions, then under "Team permissions" click __Add team__.

Just as with "User permissions", type the team's name to add them to the permission list. In the "Permissions type" column, select which level to give them.

## 5. Launch your Company Culture Survey!

You're now all set to go! With all of your questions prepared and anonymity confirmed, start sending out your survey webform links.

You can also run the survey in-app, if you would prefer to attach employee names to surveys. 

### i. Start a new Company Culture Survey

- Click on the Culture Surveys homepage.
- To start a survey for yourself, select your own name.
- To start a survey for an individual, click __Select user(s)__ and search for individual employee names.
- Or, click __Select team(s) of users__ to kick off surveys for entire user groups. You can select your Company team here to start a survey for everyone in the account.

### ii. Schedule Company Culture Surveys

You may want to schedule a survey for a future date, or set up a recurring survey.

- On the App homepage, select __Add ...__, then click __Schedule...__. This will create a content box above the __New Company Culture Survey__ button.
- Hover over the right side of the box and click on the pencil icon.
- Here you can enter information for the schedule description that can be displayed on the dashboard. Select the "Show on dashboard" toggle to enable this.
- Then click on __Add event__ and write in the relevant information. Here you can set the date for the survey, a reminder notification, toggle if the survey is recurring and how frequently they will be set.
- You can schedule surveys based on a fixed date or an employee profile date (like their start date).
- You may also want to select the toggle for "Automatically create new Company Culture Survey" to automate the process. Then click __Select participant__ to set the respondent to the Employee participant.
- Be sure to select __Save changes__ before leaving each page.

# Calendar Elements

__The calendar elements allow the user to input a specific date, date range, date time or just a time. These are particularly useful when scheduling one-on-one meetings or [check-ins](https://www.peoplegoal.com/blog/check-ins) with your manager, and for specifying by which date you aim to achieve a certain task or objective. Having a date/time picker, as opposed to inputing the information numerically, is more user-friendly, and a great way to visualize the information.__

What's more, you can set rules within [PeopleGoal](https://www.peoplegoal.com/product) that trigger calendar invitations via email to users based on the date/time inputted into the form. This really useful feature will align user's calendars with the PeopleGoal apps. This is covered at the end of this section.

## Date picker

The date picker element allows the user to input a date into the form. There are two ways this can be displayed, either as an *Input* which will look like a typical response field but will expand to a calendar when you click it, or as a *Calendar* which will take the appearance of a calendar from the outset. Both function in exactly the same way - it just depends on how you want to form to look.

You must also set a minimum and maximum date that the form covers. It is advisable to set the date range for a long period of time, to avoid problems with users inputing data. However, you can adjust this according to your needs.

__Goal setting__

Date pickers are really useful when setting objectives or goals as they allow users to set a date by which the aim to achieve the objective. They can then measure their progress towards their objective based on how long they have left to complete it. They can be used during goal-setting, development plans or even performance reviews - depending on how you run your process.

__Check-ins__

Another great way to use the date picker is when setting up one-to-one meetings or check-ins. Use the calendar option to allow users to select a date they want to meet with their employee or manager. We can then set up a state rule which will send a custom email to participants and add the event to their calendar. How to do this is covered further on in this article.

## Date range picker

The date range picker is similar to the date picker, the difference being is that the user selects a time period rather than a specific date. This is particularly useful when assessment performance over a period of time, for example in a performance review. The functionality of the element is exactly the same as the date picker element. Name the element, select the input type (*Input* or *Calendar*), set a minimum and maximum date.

__Performance Reviews__

The date rage picker element is particularly useful when setting up a performance review or appraisal form. The user is able to select the period of time that the performance review covers. You can give some guidelines using *display only* elements to instruct the user on the performance review cycle dates.

## Date time picker

The date time picker functions in a very similar way to the date picker, with an additional option to choose a time. This will allow users to request a fixed meeting with the direct report or supervisor. This is a great way to make sure face-to-face conversations are happening alongside your online processes.

## Time picker

The time picker is an element that allows the user to input a specific time. This could be useful if they want to request a meeting with a direct report or supervisor on a predefined day. For example, if all monthly or bi-annual check-ins are on a fixed day, the user will only have to request a time slot. 

__One on ones__

Use the time picker to request a specific time for a one-on-one meeting with your direct report or supervisor. We can then set up a state rule which will send a custom email to participants and add the event to their calendar. How to do this is covered further on in this article.

## Trigger a calendar invitation from a calendar element

You can send out a calendar attachment with your notification by creating a new state rule. To do this:

- Click the __Templates__ tab of your app, then select __Set rules__.
- Click the state icon in the workflow visual to set it as the active state.
- Then click __Create a new state rule__.
- Click the title (defaults to "Submission rule in state") to change the name of your rule. This helps you to identify what the rule is doing and to put it in the correct order if you're using multiple rules.

Now you're going to set up your conditions and actions. Conditions are the parameters that need to be met to trigger the action. For calendar invitations you don't need to set any conditions, as these will be triggered simply by moving the form into the next state.

Next you'll create an action to trigger a custom email to be sent, along with a calendar attachment.

- Click __Add an action__ to get started.
- Click __Send email__, select which app participants should receive the email, and enter your subject line and content.
- Click __Show additional email options__ to add recipients who are not participants, or who have an external email address.
- Toggle on "Include calendar invitation", which will automatically send a calendar invitation to the participants that you have selected or manually inputted.
- Click __Save changes__.

You are not limited to just one action - you can add as many actions as you like to each rule. We also recommend setting a rule that will show the date on the timeline on the dashboard. 

- Click __Add an action__ and then __Create a timeline event__.
- Select which participant should have the timeline event triggered, and add a timeline event description.
- Click __Save changes__.

## What can you do with the PeopleGoal Bot?

To use the PeopleGoal MS Teams bot, simply click on the __Chat__ tab and type your command in the questions field. The commands you can type in include:

### List items
This command lets you list the items you have access to. This is a great feature as at any point in time you can access all of your active PeopleGoal tasks.

View all the teams you're a member of, and click __Go to team__ to access the Team page on PeopleGoal.

### Create new item
This command is arguably the most useful! Create PeopleGoal items directly from MS Teams. Items are an instance of an app in PeopleGoal - for example, a new quarterly objective is an "item" within the "Objectives" app. Use this command to create a new goal, feedback or one-to-one for yourself, and enter the details into PeopleGoal.

When creating a new item you should search by the item name so we can match it with the app. For example, type in "Create new feedback" to create a [360 feedback](https://www.peoplegoal.com/guides/360-feedback-the-essential-guide) item for yourself.

This command uses PeopleGoal's omni-search functionality to let you search for any users, teams or items that you have access to. Just type in "search for" and add your keyword to return relevant search results. Then click __Go to ...__ to access the area in PeopleGoal.

# Posts

__Use Posts to add custom content to your PeopleGoal apps, workspaces and teams pages.__

Posts are flexible and easy to use, with a lot of different applications. Add custom instructions to your app homepage to give employees more details about how to use the app, or add a cover post to a workspace to explain what's included. The most common use of posts is to publish news, updates and [policies](https://www.peoplegoal.com/resources/policies/code-of-conduct) to team members.

You can add posts in three areas of your account:
- On the app homepage
- Within a workspace
- On a Teams homepage

The post visibility is the same as the permissions you've set up for your apps, workspaces or teams. So if an employee has access to see the app/workspace, or they are a team member of the team page you've posted on, they will see the post you've added.

[Internal comms](https://www.peoplegoal.com/blog/improve-internal-communications-for-engaged-remote-employees) are crucial! When posting company-wide news, it's best to post this to your All Account default team. Only team owners can add posts to team pages, and similarly only app/workspace owners can add posts to the apps/workspaces they own.

## Add a post

- Select __Add__ (this button is at the bottom of your App homepage, or the top of your Workspaces/Teams page), then choose __Post__.
- A content block will be added to your page.
- Click the pencil icon in the top right-hand corner of the post to add your content.

### Post content and image upload

Posts have a Title, body content and an image upload. The body content is formattable to add headers, lists, links, colors and emojis. When adding a link to your content, higlight the text to turn this into your link name and paste your link into the box that appears.

- Click __Select image__ to upload a cover image for your post.
- The image will display underneath your body content, and be displayed as a cover image on the post icon if you add the post to your dashboard.
- You can only upload one image per post.

### Adding links to posts

You can add links to external content anywhere in your post. To add a link:

- Type in the link text you want to display. For example, we want to link out to the PeopleGoal Support Center, so we've typed in "Click here to access to the Support Center".
- Highlight the text and you'll see a link icon appear above your text.
- Click this and paste in the URL you want to link to.

- Press 'Enter' to save and you'll see your link text appears in blue. This is now a hyperlink to your external content.

### Notify users

- Click the green __Notify all users__ button.
- This will send an in-app and email notification to all users with the post content and a link to the post location.

## Post settings

Posts have three settings toggles and a widget re-sizer. Switch on/off the toggles to use the settings.

__User display enabled:__ Shows the name of the poster and the date it was posted in the bottom left corner of the post.

__Comments enabled:__ Allows all users with access to the app/workspace/team to add comments to the post.

__Show on dashboard (company news):__ Adds the post to the [Dashboard](https://www.peoplegoal.com/blog/feature-release-new-dashboard), in the Company news section. This will only add the post to the dashboard of those users who have access to the app/workspace/team page where you've added the post. This gives a great aggregated feed of relevant posts, specific to the user's permissions across the account.

__Widget width:__ Resizes the post to 1/4, half, 3/4 or the full width of the page. If you add multiple posts to the same location you can resize posts to sit side-by-side.

## Delete a post

- Click the pencil icon in the top right-hand corner of your post to open the editor.
- Select __Delete__ in the bottom left, then confirm you wish to delete.
- Deleted posts are not archived and can't be restored, so be careful!

Every user profile is created with an email address, and this is your unique login to PeopleGoal. You can update your login email at any time, but remember that you can only have one email address on PeopleGoal and all notifications will be sent to this address. If you've been added to your company account, make sure that this is a work email.

To update your email address:

- Select your User menu in the bottom left corner.

# How to Install Dummy Data

Whether you're experimenting with creating a new review or you're learning how to use the Data charts, the Dummy Data feature can be extremely helpful when first getting to know PeopleGoal. The purpose of Dummy Data is to allow you to run test reports and apps to get a better understanding of how the whole process works.

### What is Dummy Data?

Dummy Data is exactly what it says on the label. It is an artificial database of fake employees that can be used to replicate the behavior patterns of real users.

In order to get started with using the Dummy Data, there are a couple of steps you need to take in order to get the fake accounts up and running.

- Authorize Dummy Data for your [PeopleGoal](https://www.peoplegoal.com/product) Account
- Enable Dummy Data in an App
- Get to know PeopleGoal through our Dummy Data

## Authorize Dummy Data for your PeopleGoal Account

The first step in using Dummy Data is to get the data enabled. Until you enable Dummy Data, you will not be able to use it in any of your apps.

- To do this, click on your __Account__ menu in the lefthand navbar, and go to __Settings__.
- From the Settings menu, you'll be able to see *Dummy Data* as one of the options. Select this and toggle on the Dummy Data before clicking __Save changes__.

Dummy Data is now activated and available to use on your account. You'll now have dummy Teams and Relationships created too.

## Enable Dummy Data in an App

With your Dummy Data enabled, you can now go ahead and start enabling it for whichever apps you intend to use.

You can't enable Dummy Data from the Workspace settings; you will need to go into an app itself and from here go to the app Settings.

- The __Settings__ tab for each app can be found above the active items - it's the last one along from the Template menu option.
- Just as you did with the main Settings menu - scroll down to *Dummy Data* and click on __Expand__.
- Then all you have to do is toggle the switch on and select __Save changes__.

Whichever apps you have now enabled Dummy Data for will start producing artificial items and responses. Although, don't expect anything insightful from them, as all of our dummy users only speak Latin.

## Get to know PeopleGoal through the Dummy Data

Your account is now set up with Dummy Data enabled on whichever apps you have chosen to activate.

Have a play around with some of the charts in the Data tab to learn more about how you can visualize quantitative data. Equally, check out how the workflows will look once users fill in their information.

The purpose of Dummy Data is to help you develop a greater understanding of the capabilities and power of PeopleGoal.

Of course, this is only a taster of how your own company would be using the software, and you should always aim to test your processes with your own pilot team. Nevertheless, it is a useful tool to shine greater clarity as you are first getting to know the ins and outs of running performance reviews or creating company-wide OKRs.

# Account settings

__Account owners will set up a few account details when they create their [PeopleGoal](https://www.peoplegoal.com/product) account, and owners can edit these in the Account settings menu.__

Click on the __Account__ icon in your navbar, then select __Settings__.

## Change Details

- Click __Expand__ to open the settings options.
- Click __Save changes__ to save your updates or __Cancel changes__ to leave without saving.

### Name

Update your company name.

### Subdomain

Every account has a unique subdomain on PeopleGoal. This helps to scope off your account to your users, and lets employees search for your company account to request to join.

Your subdomain needs to be unique (not owned by any other account) and you should try get it to match your organization name exactly, to make account search easy for [new joiners](https://www.peoplegoal.com/app-store/template/new-joiner-survey).

### Logo

Your account logo is displayed in the top left corner as well as on any webforms you use.

- Click __Select new image__ to upload a file from your local drive.
- Logos are best uploaded in a square or circle crop, in a light color on a transparent background.

### Close account

# How do I update my profile details?

Every user on PeopleGoal has their own profile, and this is managed by the user and their account owners. On your profile you can edit your Settings (name, email and profile image) and fill out any elements on your [Profile Template](https://www.peoplegoal.com/support/article/profile-templates) (which is designed by account owners). To get started, select your user menu in the top right, then __Profile__.

The first tab will show your current active profile. This is based on the template set up by your account owners, and you'll be able to edit any of the fields that are not marked as protected. To edit these details:

- Select the Company profile button on the right-hand side, then __Edit profile__. You'll see your template fields become editable.

- Click in any element to update the details.
- Click __Save changes__ and you're done!

# Install an App

__Now for the fun part - working with apps! Apps are the actual HR workflows that users will interact with. Performance Reviews would be an example of an app within the Performance Management workspace.__

When you install a workspace template you'll automatically install all of the apps it contains, so you can get up and running straight away. You can of course edit these apps to suit your own company details. ## How Do Apps Work?

Apps are the workflows that define your HR processes. Each app is __template__ for the workflow you want to execute, and users will create __items__ defined by the app template.

App templates are constructed of __Sections__ and __Elements__. Every single element is fully customizable by the app owner but don't worry about that for now - the app templates you install from our Store come fully set up and ready to go.

Apps move through multiple __States__. This allows many people to contribute to the HR process and apps can have as many states as you need. As an example, a simple [Performance Review](https://www.peoplegoal.com/product/performance-reviews-software) app would include these states:

- *1. Employee self assessment* (employee completes their section)
- *2. Manager assessment* (manager views the employee responses and completes their section)
- *3. HR confirmation* (HR views the employee and manager submissions, and adds private HR comments for employee records)
- *4. Manager confirmation* (manager receives the confirmed review back and adds final comments)
- *5. Employee confirmation* (employee receives the final review form back)

Each state has one __participant__. In our example above, the participants are employee, manager and HR. Because there's no limit to the number of states you can create for an app, you can have any number of particpants weighing in on complex processes - each with their own visibility and access permissions when the app comes round to them.

You can automate the app workflow further by defining state participants according to pre-set relationships within your account. If you predefine the manager relationship then any time an employee starts a new review the "manager" participant will be automatically assigned.

## Find Your Apps

__Apps need to belong to a workspace__.

If you've installed a workspace template, the apps will come pre-installed along with it. 

- To find these, hover over your workspace icons in the navbar and a list of all the apps within this workspace will appear.
- Click on an app name to open it up.
- Or click on the workspace icon and you'll be taken to the full table view. If you've already got apps installed they'll appear here, or you'll see a blank workspace and you can start to install app templates from here.

## Install an App Template

If you're not seeing an app you want to include in your workspace by default, you can add as many additional apps to a workspace as you need!

- Make sure you're on the __Apps__ tab of your workspace.
- Click __Create a new app__, then select __Store template__ to browse our available templates.
- You can use the filter to search for specific HR topics, or just browse all app templates. Click on a template to view the details and see if it's right for you.
- Click __Add this to your account__, then __Select workspace__. Choose the workspace you want this app to belong to (it doesn't have to be the workspace you're currently on).
- Click __Install template__ to confirm and we'll do the rest.

## Navigate the App

There are five main sections to an app, which you can switch through in the horizontal tab ribbon.

### 1. Items (app name)

Items are an instance of an app. So when someone creates a new performance review, that's an __item__ using the Reviews __app__ template.

Item views are grouped in folders running down the left of the app. These folders are:

- __You__: your own items, e.g. personal OKRs you've created for yourself
- __Your Colleagues__: any items you're participating in, e.g. if you're providing a manager's assessment for a direct report's review. Colleagues are groupd by relationship types.
- __Your Teams__: items grouped by the teams in which you're a member. Note that even though you can see all teammates' names in this view, if you don't have specific permission to view their items then nothing will display under their name.
- __All Items__: app owner view of all items in this app.

### 2. Template

The real power of your workflow lies here! The app template is where you build your process form - including all elements to be completed, as well as the custom states and rules. Because you've installed a pre-built template this is all set up and ready to go. ### 3. Data

Every single element on [PeopleGoal](https://www.peoplegoal.com/product) has a unique ID, which allows app owners to generate a full report of every single data point in this Data view tab. We'll show you how to build your own custom reports in the [Reports article](https://www.peoplegoal.com/support/article/reports).

### 4. Activity

The activity feed shows you a log of all changes and updates made to this app. This is useful when you have multiple workspace owners, so you can see who's making changes and when those took place.

### 5. Usage

This tab will show you a report showing the count of items created, updated and deleted within your app. This is useful for monitoring just how often users interact with the apps you've created, and validating if that is in line with your [performance cycle](https://www.peoplegoal.com/blog/how-to-set-up-a-performance-management-cycle-that-employees-love).

### 6. Settings

This is where you can change the name, description and look of the workspace, and set up your accesss permissions. We'll have all of this pre-built for you, but you can head over to [Become a Pro](https://www.peoplegoal.com/support/article/apps) to learn how to configure these yourself.

# Manage Users

__Account owners are responsible for adding and administering all user profiles on your PeopleGoal account. In your User menu you can invite colleagues to join the account; upload and import all employees; manage invitations and requests to join the account; and build employee database reports.__

A "user" is any individual on your PeopleGoal account, whether that's an account owner, an employee or a team lead. Every user has their own personal profile which is attached to their email address, and they will use this email address to log in to your account. You can't have more than one email address on a PeopleGoal profile (but you can belong to more than one account, either on the same or different email address).

To open your user menu, hover over __Account__ in the lefthand navbar, then select __Users__.

## Users

This is your homepage for managing your account users, and your full list of all users. The list here is paginated, so scroll down to the bottom right and click __Show all users__ to load your entire list. On this page you'll see the Last signed in date, and there are a few different actions you can complete.

### Send user invitations

When you're ready to launch your account, you'll need to send out user invitations to all employees. Employees are not notified of any activity and are not able to access their PeopleGoal account until you've sent the invitations to them (exceptions may apply here for enterprise accounts using Single Sign-On).

- To notify an individual, click __Send invitation__ next to their user record.
- Or, to notify everyone at once, scroll to the bottom of the user list and click __Show all users__. This brings all employees onto one page and selects them all for the invitations.
- Scroll back up to the top and click the blue __Invite Users__ button.

### Make someone an account owner

- Use the Filter to search for your colleague's name.
- In the "Owner" column, toggle on the switch.
- A confirmation box will appear. Click __Promote to account owner__ to confirm.
- This employee will now have full owner access to all account settings and data.

There's no limit to the number of account owners you can have at once, and no extra charges for owner profiles. However, account owners have access to the setttings and all sensitive employee data, so it's best to limit this access to your PeopleGoal superusers only.

### Remove a profile

If an employee leaves your company, you can remove their PeopleGoal login details without deleting any of their in-app items.

- Click __Remove user__ next to the employee record.
- This user will no longer be able to access or sign in to their PeopleGoal account.
- Any items they created in the apps will still be active (e.g. feedback given to colleagues, manager assessments on reviews).

## Requests

The Requests menu contains a list of all of the requests to join your PeopleGoal account. Anyone can request to join an account by searching for its subdomain, so all requests need to be approved by an account owner.

- When someone requests to join your account, all account owners will be notified in-app and by email.
- Click the link or select the __Requests__ tab in your user menu.
- To view the email address for any requests, click the requestor name and their profile will open. Click back to the Requests page.
- In the __Action__ column, select to Approve or Reject this request. If approved, your colleague will be emailed a link to set their password and sign in.

## Invitations

Employees are not notified of any activity and are not able to access their [PeopleGoal](https://www.peoplegoal.com/product) account until you've sent the invitations to them (exceptions may apply here for enterprise accounts using Single Sign-On). It's easier to upload all of your user details so that you capture the data for your custom profile fields, but you can also quickly invite anyone else to join with just their email address.

### Invite a colleague by email

- Open the __Invitations__ tab on your User menu.
- Type the email in the __Send new invitation to email address__ field.
- Separate multiple emails with a comma.
- Click __Send invitation__ to invite your colleage(s).

### Re-send invitations

There may be times when you want to re-send an invitation to someone - if they haven't accepted the initial invitation, or didn't receive it. All outgoing invitations will come from contact@peoplegoal.com, so first check your inbox to make sure you didn't miss the first invite.

- To re-send an invitation, click the __Invitations__ tab on your user menu.
- If you have > 25 invitations sent out, click __Show all invitations__ in the bottom right corner to display all.
- Find the invitation you want to re-send (CTRL/CMD + F to search for the email address) and click __Delete invitation__. You will only be able to do this if it's still pending, not accepted.
- Then invite your colleague by email using the steps above.
- The new invitation will still be attached to the same email address, so any custom profile data you may have added in your user import will still be attached to this profile. All you're doing here is re-issuing the invitation to join the account for this profile.

## Import users

The User Import Template is the easiest and quickest way to add all employees to your account. Because you can define completely custom [Profile templates](https://www.peoplegoal.com/support/article/profile-templates), your user import template will then be unique to your account and you can fill out all employee details in one upload.

- Click the __Import Users__ tab on your User menu.
- In __Step 1__, choose the profile template you want to populate (you may have more than one profile template!)
- Then click __Download import template__, and click __Next step__.
- An XLS file will be saved to your local drive to populate and upload.
- __It's very important not to change any data in the first row of this template or reorder any of your template columns! The first row contains all of the profile field IDs, and if these are removed the system can't match your employee data to the correct field.__
- Once you've populated your template in Excel, on __Step 2__ click __Next step__.
- In __Step 3__, click __Select import data__ and choose your template to upload. Then click __Upload data__.

You can see the status of your upload in the __Data imports__ menu below. Click the import to open up the details, and you'll be able to see any errors on the file.

### Relationships and Teams

Once you've imported your users, you can then go on to add their [Relationships](https://www.peoplegoal.com/support/article/relationships) and their [Teams](https://www.peoplegoal.com/support/article/teams). These are separate models from the employee profile.

## Data

The __Data__ tab is just like the Data view you have in your PeopleGoal apps. It contains a table with every single element from your employee profiles. The PeopleGoal Users menu is where Account Owners can add users, send invitations, update profiles and manage requests to join the account.
